Organizational Background

Chicago Run is a nonprofit organization that provides young people from Pre-K through high school with inclusive running and physical activity programs. We empower young people with equitable access to physical activity and use running as a catalyst to transform lives. Through the power of sport, we build resilience to stress and trauma and develop social and emotional skills. During the 2020-2021 school year, we reached over 7,000 youth participants, from 50 partner schools and sites, located in 33 diverse Chicagoland neighborhoods. We primarily focus programming in under-resourced communities with limited access to physical activity and play.

The need for our work – providing equitable access to inclusive, high quality running & physical activity programming – stems from pre-existing systemic inequities in Chicago communities. Nearly half of all youth in Chicago live in “low child opportunity areas”, meaning they lack access to resources for healthy development. These “low child opportunity areas” are a result of systemic and institutional racism and barriers that impact youth life trajectories and opportunities. Summary of Job Description

The Operations Manager will be the primary support person for our staff and will be responsible for managing day-to-day operations of the organization, with a specific focus on human resources, financial management, and technology support. Specifically, the Operations Manager will support with Chicago Run’s bookkeeping and payroll processing; recruitment and new hire processes; benefits administration and oversight; technology and systems purchasing and management, in partnership with external IT provider; and ensure general office upkeep. This role will work closely with the Vice President of Operations but will provide support and overlap among all teams.

 

Responsibilities

Operations Management: 30%

  • Manage overall administrative activities for the office and perform general administrative work such as filing, checking/distributing mail, and managing outgoing mail
  • Responsible for the day-to-day facilities operations, including the maintenance and upkeep of office areas and equipment, purchasing office supplies and equipment for staff; responsible for coordinating and managing office move when current lease terminates
  • Answer the main phone line and screen and route calls and emails appropriately
  • Prepare full staff meeting agendas
  • Oversee technology and systems management; serve as IT liaison and point person with Chicago Run’s outsourced IT vendor

 

Human Resources Administration: 30%

·      Support on human resources administration – payroll processing, 401K administration, health & dental administration

·      Support in the recruitment, hiring, onboarding, professional development, and offboarding of employees

·      Provide thought partnership and support the Leadership Team with research/recommendations regarding equity based practices, policies/operations, and learning opportunities

·      Support in the creation and implementation of new HR and organizational policies and procedures

·      Work with Vice President of Operations to ensure Employee Handbook is up to date and Chicago Run is operating in compliance with all local and state requirements

 

Financial Accounting: 30%

  • Maintain accurate records of cash receipts, accounts receivable, donations, and other revenue in QuickBooks in partnership with part-time bookkeeper

·      Deposits cash receipts into Chicago Run’s banking institution on a timely basis

  • Process invoices and checks for staff, teachers/coaches, and vendors accurately and timely and record all expenses in QuickBooks
  • Support the accurate and timely monthly, quarterly, and fiscal year-end closing process
  • Work with the Development Manager to conduct monthly database and QuickBooks reconciliation
  • Compile and create financial reports for internal and external stakeholders
  • Reconcile bank and credit card statements
  • Manage and prepare for the annual audit and work with auditors to file the 990

 

Other: 10%

  • Support with waiver review and ensure alignment with legal standards/best practices
  • Support the broader team as necessary

 

Qualifications:

  • Minimum of 1-2 years of equivalent work experience in finance and/or human resources with transferable skills required; professional certificates or degrees preferred
  • Demonstrates a passion for Chicago Run’s mission, a commitment to equity in alignment with Chicago Run’s core values, and desire to impact youth health and wellness through equitable, inclusive programming
  • Demonstrates familiarity with accounting principles and practices
  • Demonstrates proficiency in QuickBooks and Excel or equivalent systems
  • Demonstrates proficiency with basic software programs, including Microsoft Office, with advanced knowledge of Microsoft Excel a plus (CRM experience a plus)
  • Has the ability to communicate effectively
  • Exhibits strong organizational skills and is detail-oriented
  • Possess flexibility and ability to adapt to change
  • Has strong interpersonal skills and able to build relationships and communicate with a diverse array of stakeholders

 

Working Conditions

  • This is a full-time, 40-hour per week position, and standard hours of operation are M-F, 9A-5P. Occasional evening and weekend work may be required as job duties demand.
  • Currently, this role is working a hybrid schedule with three days in the office, and two days remote. Typically, this role is primarily office-based, but will continue to have opportunities for remote work.
