Job Title:  Intake Coordinator

Supervised by: Program Manager/Executive Director 

Status: The position is full-time, exempt, salaried. Salary range: $42,000-$50,000 commensurate with experience. Must be bilingual in English and Spanish.

 Organizational Overview

Fund Texas Choice is a nonprofit organization whose mission is to help Texans equitably access abortion through safe, confidential, and comprehensive travel services and practical support. 

Summary of Role: The Intake Coordinator is a new position that oversees Fund Texas Choice’s English and Spanish language intake hotline and direct assistance program. As a key member of Fund Texas Choice, the Intake Coordinator position will be responsible for overseeing the operation of the intake hotline, conducting calls, collecting and organizing caller documentation, and connecting callers to Program Coordinators to assist callers with logistical and practical support. This entails running the hotline day-to-day, maintaining relationships with abortion clinics, other abortion funds, and practical support networks in Texas, knowing how and when to refer clients to the right spaces, and assist with administrative tasks related to direct caller engagement and funding.

 Essential Job Functions

Direct Caller Engagement (approximately 80% of the position)

  • Answer and document requests for support received via our hotline and any other future methods.
  • Regularly update our hotline greeting to provide up to date information and check voicemails daily.
  • Conduct intake with callers, via phone or electronic methods, provide support, and determine types of support needed to access care, which may include coordinating travel, food, or making referrals to other practical and community support networks.
  • Ensure appropriate documentation of information into the caller management system and ensure compliance with Fund Texas Choice policies and practices including data protection and confidentiality.
  • Monitor, and adhere to the program budget
  • Track expenditures/transactions and support related financial administration.
  • Liaise with and deepen relationships with other abortion funds, clinics, and reproductive justice, health, and other community supportive organizations in the region.
  • Potential for public speaking or public engagement opportunities. 

Administrative 

  • Contribute to the development of new resources and improvements to existing resources to support callers confidently, effectively, and efficiently.
  • Collect and analyze program data to evaluate and identify areas for improvement.
  • Participate in convenings, summits, retreats, and staff meetings, and participate in required virtual staff communications.
  • Update professional knowledge by participating in educational opportunities offered by Fund Texas Choice, maintaining networks, and participating in professional organizations as relevant to your role.
  • Other responsibilities as necessary to support a growing Fund.

 

Qualifications

Job experience requirements

While no one candidate will embody all the qualifications enumerated below, the ideal candidate will possess many of the following professional and personal abilities, attributes, and experiences:

  • Hotline and/or crisis counseling and/or social work experience, particularly working with low-income individuals, Black, Indigenous, and other people of color, immigrant or displaced individuals, individuals dealing with intimate partner violence, and/or gender non-conforming, trans, and non-binary folx. 
  • Must demonstrate good judgment and maintain client confidentiality. 
  • Detail-oriented and highly organized.  
  • Excellent written and verbal communication skills.
  • Strong systems of organization and follow-through along with attention to detail.
  • Ability to effectively prioritize and execute multiple and sometimes time-sensitive tasks.
  • Must be comfortable working remotely and maintain regularly scheduled hours. 
  • Familiarity and comfort with sexual and reproductive health issues, particularly abortion.
  • Share Fund Texas Choice’s commitment to abortion access and full reproductive health care for all; and have a desire to grow their experience as a champion within the movement, especially within the practical support sector. 
  • Supportive and empathetic relational skillset with ability to provide compassionate support to a variety of caller populations (teenagers, young adults, immigrants, etc.) experiencing a wide range of emotions regarding their abortion.
  • Adaptable and flexible approach to working within the complex and ever-changing abortion access landscape.
  • Self-motivated, resourceful, creative, and able to work independently and collaboratively on a small team.
  • Co-create and maintain a growing remote organizational culture that fosters deep collaboration, trust, and coordination across functional areas; open to giving and receiving feedback and committed to practicing this regularly.
  • High level of comfort and skills working in a variety of online platforms, including phone, email, databases, and others.
  • Bilingual in English and Spanish required.  

Work Environment

  • Virtual, remote office. Must be able to participate in online virtual communications including email, video conferencing, and other online tools used to facilitate virtual office culture and work sharing.
  • This position is full time, with the employee’s regular full-time schedule to be approved by supervisor. Regular hours must include attendance during core business hours from 11:00am – 5:00pm Central Time, Monday through Friday. Occasional work on evenings and weekends as needed.
  • Must be able to conduct business in English and Spanish. 
  • Smoke- and drug (illegal or recreational)-free environment.
  • Some work at off-site locations may be required; FTC aims for accessibility in any off-site location that we have control of, but some of them may not be fully accessible.   
  • This role routinely uses standard office equipment such as computers, phones, and scanners. Employees are regularly required to communicate effectively via computer, via phone, and in person.
  • This role requires frequent sitting.
