Position Purpose

Assist the Office Manager and serve visitors by greeting, welcoming, and directing them appropriately; notifiy company personnel of visitor arrival.


Essential Duties and Responsibilities

The following represents a list of essential duties and responsibilities; other duties may be assigned as required.

·        Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries

·        Directs visitors by maintaining employee and department directories

·        Handles multiline telephone system

·        Maintains logbook of visitors

·        Maintains safe and clean reception area by complying with procedures, rules, and regulations

·        Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs

·        Assists office manager with supply orders and bill payments

·        Provides general administrative support to other departments 

·        Contributes to team effort by accomplishing related results as needed


Other Duties

·     Assists with Data Use Agreement (DUA) applications and data entry

·     Organizes documents and completes forms for grant reimbursements

·     Proofreads and edits documents as directed


Minimum Required Technical Skills and Qualifications

  • Microsoft Office
  • Strong administrative, customer service, time management, and computer skills


Education/Certifications/Licensure

·     Bachelor’s Degree


Language Skills

·     Ability to understand and interpret written guidelines, proficiency in writing emails and letters, and communicating via telephone with various callers.

·     Ability to read, analyze and interpret general business, technology and professional journals, and technical procedures.

·     Ability to write reports and business correspondence.

·     Ability to effectively present information and respond to questions.

·     Possess strong administrative skills, excellent organizational skills, and a keen attention to detail

·     Exhibits a high degree of confidentiality and integrity.

·     Thrives in a fast-paced environment and is skilled at shifting focus quickly

·     Willing and flexible to help with any urgent issues that happen to arise, even if they fall outside the scope of their daily role at the company

While performing the duties of this job, the employee will handle office equipment and frequently communicate with others. The work requires occasional physical exertion such as lifting or moving objects (up to 20 lbs.). The work requires someone to sit for long periods of time and will use repetitive wrist and hand motions involved in sorting and handling documents and operating a computer and telephone. The employee is regularly required to reach with hands and arms. Specific vision abilities required of this job include close vision and distance vision, as an employee will have close visual contact with a computer monitor constantly. The noise level in the work environment is usually low to moderate.
