Development Assistant

Description of the Organization:

For 29 years, LEAP has worked with children, teenagers, and young adults in New Haven, Connecticut in some of the lowest income urban neighborhoods in America. As the largest youth agency in our city, we provide free academic supports, social enrichment, and leadership development, but we do so in a

unique way. We give older students (ages 16-24) the training, education, and resources they need to work as counselors and leaders-in-training to our younger students (ages 7-15). In doing so, we go beyond impacting individual lives through education and employment. We build a community with power and purpose.

General Purpose:

LEAP is seeking a committed, highly organized individual who is excited to join a mission-driven, hardworking Development and Communications team. The Development Assistant will play an integral role in LEAP’s Development and Communications office as we strengthen and expand our efforts to support

our $3.5 million annual budget through improved cultivation, solicitation, and stewardship of individuals, corporations, foundations, and government entities. The Development Assistant is the hub of the department, driving vital donor processes forward, performing administrative duties that keep the department running smoothly, and assisting the Director of Development and Communications.

The Development Assistant must be detail oriented, highly organized, self-motivated, and a very effective communicator. They also will have a strong commitment to LEAP’s mission and addressing racial and socioeconomic inequities.

Distinguishing characteristics, features, requirements:

This is a full-time, 40-hour per week position based in New Haven, CT. The Development Assistant is a highly visible position who will work closely with the Director, LEAP donors, and the rest of the Development and Communications team. A candidate who has experience in only some of the essential

duties but also has a strong interest in learning new skills may still be considered.

Supervision:

The Development Assistant will report to the Director of Development and Communications, with daily work managed by the Deputy Director of Development and Communications.

Important and essential duties:

  • Provides administrative support, including scheduling, responding to donor requests, filing, copying, and recording and tracking donor processes
  • Coordinates the major gifts program, prospect pipeline, and moves management process for the department, tracking fundraiser activities with donors using Raiser’s Edge, inputting data on donor interactions, and maintaining moves management reminders for fundraisers
  • Helps to ensure that fundraisers implement planned moves with donors, communicate outcomes of moves, and then begin the cycle again
  • Produces and follows up with tour invitations, event sponsor solicitations, and other event-related and general donor outreach
  • Coordinates and schedules meetings between donors/prospects and fundraisers and ensures fundraisers have the material needed for meetings
  • Helps to manage the Director’s calendar and email to ensure timely communication with donors/prospects
  • Provides other necessary administrative support to the Director as needed
  • Fields and triages requests from fundraisers and donors/prospects as needed
  • Manages and tracks budget and expenses for the department including submitting and keeping records of purchase requests, ensuring payment by finance department, ordering and managing office supplies, and liaising with the finance department
  • Interacts with donors and staff at all levels, remaining flexible, proactive, resourceful, and focused with the highest level of professionalism and confidentiality
  • Assists with other department projects including communications, event planning, and appeals

Qualifications:

  • Ability to manage multiple projects and systems, including tracking multiple donor/prospect plans using the database, performing administrative duties, and supporting the Director’s work
  • Ability to interface with diverse constituencies, including donors, fundraisers, local community members, and all members of the organization
  • Ability to drive a complicated process that has multiple interconnected parts forward, ensuring all fundraisers follow through on assigned tasks
  • Ability to function and thrive in a highly collaborative and fast paced environment
  • Ability to prioritize and manage time wisely
  • Ability to use Raiser’s Edge (or other CRM software) effectively to track donor processes or an interest in learning
  • Strong knowledge of computer software applications including Microsoft Word and Excel. Proficiency in the Adobe Suite or other design programs is a plus.
  • Demonstrates tact and discretion in preparing, disclosing, and handling confidential information
  • Demonstrates effective verbal and written communication skills
  • Is highly organized and able to manage multiple administrative processes effectively
  • Ability to communicate clearly and effectively in person, via email, and on the phone
  • Ability to work independently, prioritize effectively and make sound decisions while remaining flexible

Education and Training:

  • Any combination equivalent to experience and education that could likely provide the required knowledge, skills, and abilities would be qualifying. A bachelor’s degree or higher from an accredited institution is preferred, but not required.
