Job Description: Program Associate (part-time, 20-24 hrs/wk)

The Intercultural Counseling Connection fosters a network of volunteer mental health professionals committed to providing culturally responsive, cost-free counseling and therapeutic services for asylum-seekers, refugees, and other forced migrants living in Maryland.

Summary/Scope of the position:

The Program Associate provides administrative and logistical support for daily operations and activities of the Intercultural Counseling Connection, under the direct supervision of the Program Director.

The Intercultural Counseling Connection is based in Baltimore, Maryland. Under current COVID pandemic conditions, the majority of tasks can be conducted from a remote/ home-office site in the greater Baltimore area; once conditions normalize, a significant portion of responsibilities associated with this position will require on-site presence at the Connection’s office location in northeast Baltimore.

Responsibilities:

  • Maintain informational systems for tracking and documentation of services provided for clients, using dedicated database program.
  • Gather monthly counselor-client hours and related metrics for program documentation and grant reporting purposes.
  • Support Program Director in program funding activities, including assistance with grant writing and reporting to current funders, research on potential funders, and annual appeals.
  • Maintain responsibility for scheduling of interpreters for counseling sessions.
  • Assist the Program Director in planning and implementation of clinical training workshops for mental health providers, including administration of continuing education units (CEUs), preparation of resource materials, and logistical support.
  • Coordinate transport assistance for Connection clients to/from counseling sessions.
  • Assist with periodic updates to the Connection website, preparation of e-newsletter, and amplification of the program’s social media presence.
  • Prepare monthly reimbursement requests/expenses worksheets for transport and related program costs. 
  • Assist in coordination of and agenda-keeping for regular meetings with co-located partner organization, Asylee Women Enterprise.
  • Maintain and take lead role in monitoring implementation of program's three-year strategic plan, including tracking key activities and keeping Connection team members on task and updated.
  • Assist in representing the Connection during visits by grant foundation representatives and at diverse informational events in the Baltimore area.
  • Maintain/update Connection contact lists (using content management/database systems as appropriate).
  • Provide assistance in other areas of program operations and activities as needed.

Core qualifications:

  • Excellent communication and interpersonal skills.
  • Direct experience working with culturally diverse individuals and communities.
  • Experience in providing administrative and program support for non-profit projects.
  • Familiarity with standard computer applications (Word, Excel) and database operations.
  • Understanding of salient psycho-social issues affecting refugees, asylum-seekers, asylees and immigrants pre- and post-migration or resettlement.
  • Related undergraduate degree (e.g. public affairs/administration, nonprofit policy/management, communications) or equivalent experience.

Desirable additional qualifications:

  • Familiarity with funding environment for social services in greater Baltimore.
  • Some level of proficiency in French, Spanish, Arabic, Amharic or other language dominant among area forced migrants/asylum-seekers.
  • Graduate degree in related area (e.g. social work/social services, nonprofit policy/management, development or humanitarian work) or equivalent experience.
