Description

The Development Analyst will play a critical role in the functioning of the Development team. The Development Analyst will serve in an administrative and support capacity to the Development directors and managers based in the Chicago office. The Analyst will ensure that the Development Team is organized and prepared for meetings, events and other projects. They will track, and ensure the timely completion of, follow up items from internal and external meetings. In addition, the analyst will monitor deadlines for briefings and projects to ensure that they are completed and submitted in a timely manner. The Development Analyst will report to the Director of Development Operations and Policy.


Outcomes

The Development Analyst will be responsible for achieving the following outcomes within the first year:


  1. The Development team calendar and Salesforce are managed exceptionally well: calendar is always up-to-date and accurate; deadlines are recorded and assigned to the appropriate people; meeting requests are responded to within 24 hours, activities are logged and reports are generated accurately, on time
  2. Chicago directors are fully prepared for all meetings (for example, have agenda for all meetings, have read background information necessary before meetings, have bios for people he or she meet when necessary, etc.), and next steps are tracked to ensure completion
  3. Administrative systems (i.e., task and email management processes) are created and managed in a way that allows team members to maximize the time they spend each week on meetings and activities that will advance their goals
  4. All people – internal and external – who have contact with the Development Department experience warm and efficient customer service and leave with a positive impression of the Foundation
  5. The team’s travel arrangements are made on time and within budget; expense reimbursements are submitted accurately and promptly
  6. Independently identify and disseminate articles, research, and other relevant information related to donors, fundraising, and philanthropy to maintain and advance the Development team’s understanding of best practices, current research, and recent developments in the field
  7. Event logistics (scouting venues, contracting with vendors, ordering supplies, catering, etc.) are executed to the highest caliber in a timely, efficient, and cost-effective manner


Responsibilities

The ultimate aim of the Development Analyst is to achieve the outcomes listed above. In order to achieve those outcomes, we imagine that the Development Analyst will spend his/her time in the following ways:

  • Coordinating with and leveraging the assets of Foundation teams to support the Development team’s activities, programs, and events
  • Successfully overseeing project management functions to help the team execute both short- and long-term objectives
  • Managing calendars for members of the team, ensuring that team members are spending the majority of their time on their highest priorities
  • Ensuring that the team is fully prepared for all meetings and trips with agendas, bios, talking points, and background reading
  • Conducting background research, as needed, and succinctly summarize findings on a timely basis
  • Managing travel for team members, including booking travel and lodging, and assist in managing the travel schedule
  • Ensuring that all expense reimbursements are submitted accurately and on time
  • For select projects or meetings, tracking next steps and ensure completion
  • For select projects or meetings, tracking budgets and expenses
  • Contributing to other team projects as needed

  • Detail-oriented and does not let small details slip through the cracks
  • Track record of designing and implementing effective and efficient systems and processes that deliver excellent results
  • Motivated by providing exceptional customer service -- warm, friendly, anticipates needs, takes initiative, resourceful, problem-solver
  • Exceptional communication skills, written and verbal; establishes rapport easily with other people
  • Unflappable, calm under pressure, extremely poised; flexible amidst changing priorities
  • Strong team player
  • Honesty and transparency in giving and receiving information and feedback; ability to maintain confidentiality and use discretion in handling sensitive information
  • Proficient with Word, Excel, PowerPoint and Google apps
  • Bachelor’s degree required
  • Minimum of one to two years of experience, including previous experience supporting a senior executive required. Experience at a non-profit organization, specifically in development or donor relations, a plus
