Overall Job Description

The Operations Manager will be responsible for efficiency across the organization including human resources, office management, fiscal management and organizational compliance.  The Operations Manager reports to the Executive and serves as a member of the Leadership Team. The Operations Manager also contributes to the development and implementation of organizational strategies, policies and practices and is committed to the organization mission and values of authentic youth engagement, building community, equitable practices that promote race equity, diversity and inclusion, and strength-based practice. This position will also interact with the Board of Directors.


Major Responsibilities & Duties:

The Operations Manager provides day-to-day office functions as well as organizational-wide support.


Operations/IT

  • Improves and maintains the operational systems, processes and policies in support of the organization’s mission and values. This includes managing the office calendar and maintaining the general office environment
  • Play a significant role in long-term planning, including initiatives geared toward operational excellence
  • Develops and manages print and digital filing systems
  • Maintains organizational technology and phone systems
  • Prepares reports by collecting and analyzing information
  • Secures, documents and maintains important organizational information
  • Documents meeting discussions and shares action items with relevant team members
  • Maintains office supplies inventory; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Manages relationships with vendors, service providers and landlord ensuring that all items are invoiced and paid on time
  • Manages and negotiates contracts with office vendors, services providers, and lease management companies in compliance with NMCAN’s Minority, Women, and Youth Owned Small Business Enterprises Policy
  • Contributes to team effort by accomplishing related results as needed
  • Other duties as assigned


Finance

  • Manages overall financial management, planning, systems and controls including managing accounts payable and receivable and ensuring proper systems for bookkeeping
  • Oversees agency budget in coordination with the Executive Director
  • Develops individual program budgets in coordination with Leadership Team
  • Regularly meets with Executive Director around fiscal planning and organizational operations
  • Other duties as assigned

Human Resources

  • Conducts training sessions on a variety of topics, including orientations and onboarding of new employees
  • Maintains HR functions like managing employee files, legal compliance and managing new hire and exiting employee functions
  • Manages employee benefits
  • Other duties as assigned

Minimum Qualifications and Experience:  

Bachelor’s degree in a relevant field preferred, plus two to five years of directly-related experience preferably working in a nonprofit capacity. An equivalent combination of education and/or experience may be substituted, as long as it directly relates to the essential duties and responsibilities. Must be detail-oriented and willing to hold others accountable.

  • Strong interpersonal skills with the ability to communicate effectively with people from diverse racial, ethnic, socioeconomic, and gender backgrounds

  • Strong analytical writing skills and oral communication skills
  • Ability to develop and present information before various group sizes and diverse audiences

·        Extensive knowledge of Microsoft Office applications, Adobe Suite, Google Apps and Box.
