Office Assistant 

Brave New Films (BNF) a 501(c)3 nonprofit is looking for an Office Assistant to be responsible for handling clerical tasks, offering administrative support across the organization, and supporting the development and operations departments to ensure the smooth operation of the office.

 

You will report to the Director of Development and the VP of Operations as you will assist with assigned projects for each department along with fulfilling ongoing administrative and clerical tasks. This is a great opportunity for someone looking to break into a career at a nonprofit and with an interest in learning about fundraising. 

 

The skills necessary to succeed in this role call for a very special combination of passion and talent. The ideal candidate for this position has a strong work ethic, learns new tools quickly and independently, and is comfortable working in a fast‐paced and dynamic nonprofit. The Office Assistant must be flexible, poised, and able to prioritize, multitask and execute with flawless attention to detail. You should be able to deal with emergencies in a timely and effective manner while streamlining office operations.

 

Primary Responsibilities (While working remotely) 

  • Perform all clerical and admin duties as assigned to support the office. 
  • Provide admin and clerical support to the Director of Development and the President of the organization. 
  • Assist with coordinating/scheduling appointments and creating Zoom meeting links. 
  • Maintain the integrity of databases and CRM. 
  • Create and update records in our CRM ensuring accuracy and validity of the information. 
  • Perform research related to development/fundraising at the direction of the Director of Development. 
  • Serving as liaison to IT support. 
  • Create and log donor thank you letters. 
  • Prioritize requests and ensure deadlines are met. 
  • Managing passwords and subscriptions for all staff. 
  • Respond to general inquiries (received via phone or website); oversee incoming communications, and when appropriate elevate any issues. 
  • Perform other related projects and duties as requested. 

 

Skills and Abilities

  • Technical Skills: Microsoft Office (Word, Excel, Teams, and Outlook), Google Apps, Document Management, Adobe Acrobat, proficiency in CRM software, a general understanding of cloud platforms, and must be comfortable with technology. 
  • Attendance & Punctuality: Be consistently at work and on time; arrive at meetings and appointments on time; ensure work responsibilities are covered when absent. 
  • Communication: Possess strong verbal and written communication skills. 
  • Customer Service: Respond promptly to internal and external requests for service and assistance;
  • Dependability: Follow instructions; complete tasks on time; commit to the hours necessary to complete assignments; work independently when needed, and ability to be resourceful and proactive when issues arise. 
  • Time-management: Multitasking and time-management skills, with the ability to prioritize work by considering its risk, importance, urgency, and organizational implications.  
  • Team Work: Contribute to building a positive working environment; support everyone’s efforts to succeed with a high sense of urgency, drive, and willingness to do what it takes to get the job done. 
  • Professionalism: High level of discretion about confidential information, ethical and trustworthy. 

 

This is an excellent opportunity for someone with 1 – 3 years of experience in office/admin support or 1 – 3 years of experience working at a nonprofit organization. We’re also looking for someone with a passion for the issues and someone that has an interest in learning more about nonprofit development/fundraising. We are willing to overlook office/admin support experience if you have other rich experience with the desired technical skills and communication qualifications.

PLEASE NOTE: This position is currently remote; however, this is intended to be an in-house position only. Please only apply if you are located within driving distance of zip code 90232. Yes, the position will start as remote work but when it’s safe this position will be working in our Culver City office. 

 

While working remotely it is estimated that the Office Assistant will spend about 70% of their time supporting the Director of Development and 30% of their time supporting the VP of Operations. When the position returns to being in-house it is anticipated that the Office Assistant will allocate additional time to supporting the VP of Operations.

 

Job Types: Full-time

Pay: $44,200 salary per year 

Benefits: Paid time off, and employer-paid health and dental insurance, 401(k) matching.

Schedule: 8-hour shift, Monday to Friday, from 9 AM to 6 PM (with 1-hour lunch from 1-2 PM PST) 

Work Location: On Location in Culver City, CA (but currently Remote until further notice)

COVID-19 Precaution(s): Entire office is currently working remotely, but the plan is to return to the office when it is safe to do so in Los Angeles County. All interviews will be conducted remotely.
