HR AND OPERATIONS COORDINATOR JOB DESCRIPTION  

 

Job Summary

Day One seeks energetic and detail-oriented applicants to join our Administration Team as HR & Operations Coordinator. This position works in collaboration and reports to the Director of Finance and Administration to oversee operations, finance and human resources. We’re seeking a team member who understands how effective social justice work is served by attention to detail, time management and organization! The ideal candidate will also excel at managing multiple priorities while taking initiative and proactively forecasting needs.

 

Day One’s Administration Team (The A-Team) implements inclusive and equitable practices to ensure financial stability, run efficient operations and creatively improve office culture in order to push forward Day One’s mission.

 

Day One Overview

Since 2003, Day One has devoted its full resources to preventing intimate partner violence (IPV) among young people. Day One partners with New York City youth to end IPV through a combination of preventive and direct services. Our multi-disciplinary approach brings together a highly collaborative staff with expertise in legal, social service and education service provision. Serving New York City youth up to 24 years of age, our Direct Services Program provides direct legal representation, advice and information, individual and group counseling and case management services to survivors.

This position will serve as the primary point person for all staff persons in their access to supplies, technology and office resources.

Responsibilities include, but are not limited to:

 

Human Resources

●     Co-design and co-facilitate all employee, intern and volunteer orientations and assist with onboarding new employees and ensure their payroll, benefits, workspace and technology needs are addressed

●     Offboard employees, interns and volunteers from all platforms and conduct exit interviews

●     Supervise and recruit finance and human resources & operations interns

●     Develop all content for monthly internal newsletter to keep staff updated with Administration-specific news

 

Operations and Office Management

●     Order supplies for the office and programs, and generally maintain the office space

●     Liaise with building management and manage facility operations

●     Support staff with any related issues or questions that may arise

●     Help create and maintain a diverse, equitable and inclusive workplace and learning environment and commit to principles against racism and combating gender inequality

 

Finance

●     Manage payment of bills, including receiving and processing invoices, creating and sending invoices and managing accounts payable and receivable

●     Manage all organizational credit card purchases and reconciliation process

●     Assist with annual audit

 

Qualifications

The ideal candidate will have prior experience providing support and operational assistance in an office setting. Strong oral and written communication skills are required, and proficiency with MS Office applications is essential.

 

●     BA/BS or equivalent work experience

●     Enthusiasm for Day One’s mission and an ability to think outside the box

●     Commitment to the empowerment of young people

●     Ability to work independently and in a collaborative setting

●     Excellent judgment, attention to detail and time management skills

●     Experience with Expensify, FundEZ and TSheets a plus

●     Visual creativity a plus
