The Position:

The Finance Assistant

is responsible for processing accounts payable and accounts receivable, ensuring

accurate data entry in financial and donor database systems, and supporting the

Senior Finance Manager in the day-to-day accounting functions of the

Primary Duties and Responsibilities:

Bookkeeping and Accounting

·       Process accounts payable using – upload and route invoices, assign approvers, ensure

proper coding, resolve errors.

·       Enter cash receipts, manual checks, petty cash transactions, donations in Neon CRM.

·       Code and deposit revenue checks and cash.

·       Monitor transfer of revenue from outside portals (Paypal) to bank accounts as needed.


·       Track W-9 forms and contact vendors for updates as needed.

·       Maintain credentials for all relevant sites, workplace giving, etc.

·       Other duties as assigned.

Database Management

·       Enter all donation and finance information, liaising with the Development and Marketing team as needed to ensure accurate records.

·       Perform file imports and exports from donor database to financial systems as necessary.

·       Provide internal support to all database users, including training and technical assistance.

·       Pull data from Neon to support marketing efforts and for mailings.

Fundraising Support

·       Ensure integrity of filing and retention of acknowledgements, donation information and adhere to proper recordkeeping guidelines.

·       Troubleshoot gift processing issues such as online credit cards or merchant account issues.

·      All tasks related to donation and acknowledgement processing to ensure all donors

receive a timely, federally compliant acknowledgement/receipt based on gift


·       Respond to donor inquiries by phone and email and enter donor requests as needed in database; follow-up with donors when necessary;

·       Other duties as assigned

Required Education, Experience & Qualifications:

·    At least 2 years of experience in accounting, bookkeeping, or finance. Education may be substituted.

  • Nonprofit experience a plus.

·   Organized and detail-oriented, with exceptional attention to detail/accuracy

·    High degree of computer literacy and willingness to learn new systems

· Sitting at a desk for long hours, within a temperature controlled indoor office setting

·     Spending long hours in front of a computer screen

·      Frequent use of hands and arms to use office equipment, telephone, computer

  • Occasional need to lift and move supplies up to 30 lbs.

·      Kneeling/stooping as needed to straighten the office or put supplies away

·    Talking and listening to individuals and small groups is a major component of the role

Health/Dental/Vision Insurance

Regular, full-time employees are eligible for health, dental and vision insurance. Eligibility begins on the 1st of the month following hire. Details regarding coverage expenses and our health care carrier are available upon request. The charity will cover 100% of premiums for employee coverage.   

Life Insurance

Regular full-time staff members are eligible for basic life insurance, with premiums paid by the charity.

Retirement Plan

All Employees with 1,000 hours or more will be eligible to participate in the organization sponsored retirement savings plan on the first day of the quarter following one (1) year of employment. RMHC will match 100% of eligible employee deferrals, up to 5% of their compensation each pay period. Amounts deferred over 5% will not be matched by RMHCDC. All employer contributions are 100% vested. Details about the plan are available upon request.

Short- and Long-Term Disability Insurance

The charity will cover 100% of premiums for short and long-term disability insurance.

Paid Vacation

Regular, full-time employees are eligible for paid vacation leave per the schedule below:

Length of Service


Hire date – 2nd year

10 days or 80 hours (accrued bi-weekly at the rate of 3.076)

3rd anniversary-5th

15 days or 120 hours (accrued bi-weekly at the rate of 4.615)

6th anniversary -10th

20 days or 160 hours (accrued bi-weekly at the rate of 6.153)

11th anniversary +

25 days or 200 hours (accrued bi-weekly at the rate of 7.692)


Paid Sick Leave

Regular, full-time employees will accrue 2.16 hours per pay period, equal to 7 days or 56 hours per year for paid sick leave.

RMHCDC complies with the District of Columbia’s Accrued Sick and Safe Leave Act Policy (please refer to Appendix 1). Part-time and temporary employees are eligible for paid sick leave upon hire and will accrue paid sick leave at a rate of 1 hour of sick leave for every 87 hours worked up to a maximum of 3 days per calendar year.

Personal Time Off (PTO)

Regular, full-time employees are eligible for 40 hours of PTO per year, equal to five (5) days. PTO is accrued at 1.54 hours per pay period, and can be used for vacation, personal time, personal illness, or time off to care for dependents.



All regular, full-time employees are eligible for eleven paid holidays per year. Regular, part-time employees are eligible for prorated holidays that fall during their regularly scheduled work days. 

Professional Development

All full-time employees are encouraged to take part in professional development opportunities throughout the year. In addition, RMHCDC covers the of a LinkedIn Learning account. Employees are also welcome to participate in RMHC Global training and learning opportunities.
