Position Summary

The Operations Manager will work closely with the organization’s leadership team, and under the guidance and mentorship of our interim Executive Director, to support our operational needs, including finance, human resources, and general administration. We are looking for someone passionate about cultivating an adaptive people-centered culture grounded in advancing racial equity and social justice, along with creating systems that effectively and ethically support our operations.  

Our Operations Manager will join Pottery Northwest at a pivotal time in its history, as we relocate to a new facility and seek out a long term leader. A part of this process is the opportunity to evaluate and evolve organization-wide infrastructure and practices.

Reports to: Executive Director

Type: Full Time, Exempt

Pay: $50,000-$65,000, Placement within the scale is dependent on a combination of education and experience.

DUTIES & RESPONSIBILITIES

Organizational Management (35%) 

  • Oversee organization and flow of office operations, including processes, systems, and managing inventory. Support team members to successfully complete their job. 
  • Identify gaps and needs in organization operations and infrastructure to address and resolve with best practices
  • Assist in crafting principles, policies, and procedures of the organization, with an acute focus on operations; board governance, impact evaluation; and strategic planning and review.
  • Work with the leadership team to build up successful operational and platform needs of the organization.

Financial Management (30%)

  • Maintain digital accounting records and support bookkeeping, invoicing, expense reports, and budgeting.
  • Create financial reports and collect data on organizational performance.
  • Participate in weekly financial meetings with accountant, monthly meetings with finance committee/board, annual meetings with auditor 

HR & Staff Support (30%)

  • Work with Executive Director to develop a new onboarding/offboarding process.
  • Supporting the hiring process and onboarding for new employees
  • Purchasing and tracking professional development for staff
  • Supporting/facilitating internal work such as values/mission/vision work, handbook updates, financial protocols, and disaster planning 
  • Occasional executive support including scheduling

Shared Leadership (5%)

  • Participate in team check-ins, weekly staff meetings, and planning and support for Pottery NW events
  • Identify and participate in professional development opportunities that advance skills for the role
  • Produce an annual work plan with metrics tied to overall organizational goals
  • Participate in our strategic planning and budgeting efforts.

Specifically, we are looking for:

  • 3+ years experience in operations, finance, human resources, organizational development, or administrative management role.
  • Familiar with nonprofit financial work (budgets, development, etc.), human resources, and office administration, or a high level of enthusiasm to learn.
  • Demonstrated commitment to racial and gender equity, and understanding the role inequities play in our society; experience leading diversity, equity, and inclusion work in an organization or a team a plus
  • Outstanding interpersonal skills and an ability to develop trust and maintain deep relationships with a variety of diverse students, partners, and community members.
  • Strong project management skills, including the ability to plan out project steps, create and meet deadlines, manage schedules, communicate through challenges, and stay highly organized with competing priorities and information; Operates with thoughtfulness around accomplishing goals
  • A collaborative approach to problem-solving, including the ability to pivot to meet immediate needs, or address unforeseen.
  • A persistent commitment to communication in the face of challenge and conflict.

The strongest candidates will have: 

  • Direct experience within a nonprofit setting in an operations function
  • Lived experience, professional or volunteer work in the arts world, or a deep appreciation and love of the arts.
  • Proficiency with the Google Suite and quickbooks, and the ability to learn new software.

What you Will Accomplish

During the first three months you will:

  • Get oriented and familiarized with current systems and processes at Pottery Northwest, including bookkeeping, office management, and human resources.
  • With the guidance of the interim Executive Director, support operational aspects of our upcoming facilities move.
  • Start evaluating the effectiveness of our current systems, and begin proposing updates / changes / improvements, including supporting the roll out of a new payroll system.
  • Participate in team learning around shared leadership, antiracism, and strategic planning.

After your first 6 months, you will have:

  • Successfully supported the overall relocation of our facility.
  • Identified and are actively working on deploying new systems for operational processes, including HR, finance, and general staff management.

Hours, Location & Conditions

The Operations Manager will be set to work 40 hours/week, Monday-Friday, with the option to operate on a hybrid schedule of remote and in-person on site, negotiated with the team to ensure site coverage. Additionally, we offer:

  • Paid sick leave, 2 weeks vacation, and 10 paid floating holidays
  • Medical and dental insurance-100% employee premium paid by employer
  • Complimentary classes, workshops, and studio usage
  • A professional development stipend

We are also planning to add retirement and commuter benefits in 2022, and are looking at expanding vacation.

Ideal first start December 9th.
