Supervisor: Finance Director

Position Status: Full-time, Exempt

Position Objectives:

The Accounting Manager helps manage and actively participates in the accounting cycle to ensure that the organization’s accounting processes are timely, accurate, efficient, and consistent. The manager also oversees the payroll function and coordinates with the Human Resources Manager in regard to new hires, position changes, promotions, and termination of staff. The successful candidate will have a deep knowledge of accounting, with a preference in non-profit accounting. This position supervises the Accounting Associate and reports to the Finance Director.

Furthermore, the Accounting Manager is responsible for working closely with other ALDF Directors and Managers, as well as providing reporting and presenting financial data related to restricted income and expenses. This position will also assist with proposed enhanced reporting for campaigns and projects as requested by various departments within ALDF. Finally, the Accounting Manager is responsible for managing the day-to-day operations of ALDF within the defined strategic and financial envelope established by the Finance Director’s business plan and budget.


Responsibilities

Responsibilities and tasks include but are not limited to:

Payroll Duties (35%)

  • Process, set up and manage bimonthly payroll to include retirement contributions and profit-sharing match, leave pay, PTO accruals.
  • Process yearly staff bonuses.
  • Process yearly cost of labor increases for payroll.
  • Process reporting of retirement contributions and matches.
  • Review payroll data and prep files for payroll journal entries.
  • Set up and manage IBS system – payroll module.
  • Assist with transferring and setting up payroll if the organization switches providers.
  • Process and manage yearly worker’s comp audit.
  • Process and coordinate with state agencies / insurance broker to setup state registrations for withholding unemployment for new, relocated and terminated employees.
  • Partner with HR for accurate payroll setup of yearly benefit open enrollment.
  • Partner with HR for accurate setup of employee leaves (FMLA, sabbatical, etc.) affecting payroll and PTO accruals.
  • Review invoices related to payroll benefits (health, dental, life, workers comp, etc.) for accuracy and any other related vendor that this position oversees.

Accounting and Reporting Duties (40%)

  • Manage the month-end close of the books (including fixed assets, receivables, pledges, prepaids, liabilities, and other necessary schedules).
  • Manage all aspects of restricted funding tracking, reporting and coordination with Legal Campaigns Program Director, Development and programs.
  • Track the staff salary allocations for donors of restricted income. Provide reports for departments in regards where the salaries are distributed.
  • Provide donor reports as required or requested by the Development and other departments.
  • Understand the budget software and upload the monthly actuals into the systems for department directors to review. Provide assistance with requests regarding budget vs. actuals reports.
  • Set up and manage the new ERP accounting software. Manage the software consultants and oversee the flow of accounting information. Assist with creating custom reports for departments.
  • Direct and manage all implementation of new software and procedures within Finance.
  • Reconcile yearly 125 Cafeteria Plan accounts.
  • Initiate ACH vendor payments in the checking account.
  • Monthly reconciliation of restricted funding and release of funds (income) in the general ledger.
  • Create and manage lobbying reports for In-House Counsel.
  • Setup and manage expense reporting platform. Coordinate with vendor consultants.
  • Assist in compiling necessary data and reports for the annual audit.

Managerial and other Finance Duties (25%)

  • Cross train on all other accounting processes, as necessary.
  • Step-in as backup to Finance Director, when needed.
  • Ad hoc projects from the Finance Director, as deemed necessary.
  • Supervise the work of the Accounting Associate that include account reconciliations, accounts payable processing, accounts receivable, booking payroll journal entries, and other accounting staff duties.


Requirements

  • BS or BA in Accounting, Business, or equivalent knowledge and experience in this field.
  • 5+ years of direct accounting and bookkeeping experience.
  • Proficiency in QuickBooks Enterprise and Microsoft Excel, Outlook, Word.
  • Payroll, HR software experience (IBS, ADP payroll, or other similar cloud-based system).
  • Understanding of GAAP compliance.
  • Independent and self-motivated with good organizational and prioritization skills.
  • Excellent verbal and written communication skills.
  • Capable of consistently handling multiple projects & meeting deadlines.
  • Agile with ability to troubleshoot accounting software and conduct efficient web research.
  • Must have positive attitude and work well in a team-oriented work environment.

Nice to have

  • Cloud Expense software experience.
  • Experience working for non-profit organizations.
  • Previous experience with assisting in financial audits.
  • Demonstrated interest and experience with animal welfare issues and be committed to the mission of the Animal Legal Defense Fund.

Work Environment:

Due to current county restrictions, this position is a hybrid between working remotely from home and being present in the office to perform the related accounting tasks and duties. It is expected for the person to be within commuting distance of the office.

The workplace is a busy, two-story office located in Cotati, California. The workplace environment is business casual and includes companion animals. Products made from animals or animal parts are prohibited in the office.
