The Authors Guild Foundation (“Foundation”) is a supporting organization of the Authors Guild (“Guild”), a professional association of writers; the Guild and Foundation have a combined operating budget of $3.6 million.

The Development Associate will be responsible for administering the Foundation’s database and supporting the Foundation’s Executive Director in all aspects of the Foundation’s development activities, including major gift solicitation, annual appeals, legacy gift programs, grant applications and administration, and fundraising and cultivation events. The Development Associate will report to the Executive Director of the Foundation.

PRIMARY DUTIES and RESPONSIBILITIES:

  • Maintain and operate the Development database (currently Donorview but looking to possibly transition to a new database), including but not limited to data entry, list pulls and reports, gift entry, mailing and follow up of solicitation and acknowledgement letters.
  • Manage and regularly update Moves Management systems.
  • Assist the Executive Director in the planning and execution of all Foundation cultivation and fundraising events.
  • Coordinate direct mail and web-based giving campaigns, delivering targeted fundraising appeals to different constituencies, based on the established fundraising plan.
  • Work with Executive Director and outside Fundraising Consultants on all aspects of the annual gala benefit, including event planning, sponsorship appeals, ticket sales, gift solicitation and tickets sales, acknowledgements, database management and oversight of printed deliverables.
  • Liaison with the marketing communications team to ensure that Foundation and Donor communications are timed effectively and with regard to other Guild communications; Track and manage communications calendar, draft various communications.
  • Assist Executive Director and Vice President of Programming in coordinating and cultivation events for donors and potential donors.
  • Prepare grant proposals according in conjunction with the VP of Programs, Executive Director, and outside Development Consultants.
  • Work with Finance Manager to produce reports on foundation expenses and campaign effectiveness.
  • Assist in creating annual fundraising reports and plans.

OTHER DUTIES

·      Provide administrative support to Executive Director as needed.

·      Keep social media team updated with information needed about Foundation activities and assist with the creation of social media posts.

·      Conduct prospect research, as needed.

·      Assist with materials for Foundation Board meetings.

·      Maintain and regularly update board orientation books and committee lists and minutes.

·      Administer awarded grants, ensuring that contracts are fulfilled, and reports submitted.


EXPERIENCE

·      3-4 years nonprofit and database management experience, preferably in development.

WORKING CONDITIONS/PHYSICAL DEMANDS

·      Physical surroundings are generally pleasant and comfortable with minimal exposure to injury or other hazards. Normally seated with the freedom of movement on a regular basis handling of materials and supplies. Some physical effort required including climbing stairs, setting up folding tables, moving chairs, carrying boxes of up to 40 lb. May spend extended periods at the computer, on the telephone, or operating other office machines, requiring eye-hand coordination and finger dexterity.
