Fundraising and Special Events Manager

Emily’s Entourage (EE) is seeking a full-time special events professional to lead the planning, development, production and evaluation of major fundraising events, online and in-person, to drive the organization’s growth and ensure that goals are met within required timeframes and established budgets. 

Candidates must demonstrate the ability to adapt to the rapidly changing fundraising landscape since COVID-19. The organization’s signature galas, which make up more than half the organization's operating budget, transitioned to virtual and may remain virtual, or hybrid, indefinitely. Ideal candidates have proven experience in both traditional event planning and producing virtual events. 

The Position

In this role, the individual will bring their events expertise, attention to detail, and highly motivated drive to produce impactful, revenue-generating events for the organization that drive growth. Ideal candidates will be creative, have a high sense of urgency, and operate in a proactive and results oriented manner. Candidates must have strong organizational and project management skills, excellent verbal and written communication skills, and a “can do” attitude. 

The Special Events Manager will join a core team of five, including a full-time Director of Operations and Director of Marketing and Communications, a part-time Director of Strategic Partnerships, and two co-founders. Additionally, EE plans to hire a Chief Scientific Officer in Fall 2021. The Fundraising and Special Events Manager will report to the Director of Operations. The organization is based in Bala Cynwyd, PA but is currently virtual due to COVID-19. Local candidates only.

The Organization

EE is an innovative 501(c)3 that funds research for new treatments and a cure for nonsense mutations of Cystic Fibrosis (CF), a fatal genetic disease afflicting Emily and many others. Since 2011, Emily’s Entourage has awarded millions of dollars in research grants, launched a CF gene therapy company that has been acquired by a large pharmaceutical company, and led worldwide efforts to drive high-impact research and drug development. 

The foundation’s work is particularly critical now as revolutionary breakthroughs are available for 90% of the CF population, but those with nonsense mutations fall in the outlying 10% that do not benefit from these major advances. EE is laser-focused on changing that—and doing it fast, so nobody is left behind.

Importantly, the work of EE holds the potential to benefit not only those with nonsense mutations of CF. Roughly 12% of all genetic diseases are caused by nonsense mutations, which means 30 million people worldwide live with a disease caused by a nonsense mutation. The research that EE is spearheading has the potential to have wide-reaching effects, far beyond the CF community. 

EE has been featured in the New York Times, STAT, CNN, TheSkimm, People, and more. Emily was named a “Champion of Change” for President Obama’s Precision Medicine Initiative and is the recipient of the 2016 Global Genes Rare Champion of Hope for Advocacy Award and the 2020 Philadelphia Magazine Luminary Award.


Events and Project Management

Plan and execute 2-3 major events, (500+ attendees) and 3-5 smaller networking/major donor events throughout the year, and scientific and advocacy meetings as needed, either in-person or virtual

  • Source and manage various digital platforms for virtual events, webinars, and content sharing, and venues for in-person events
  • Develop and oversee budgets, project timelines, and deliverables for all events
  • Manage vendors and subcontractors, including web production, AV, catering, and more, to ensure on-time and high quality deliverables
  • Lead sourcing and communication with graphic designers (if necessary) on all event-related assets, including print and digital invitation packages, event slideshows and presentations, event signage, web assets, and social media graphics
  • Work with video production teams as needed to oversee timeline and completion of video assets for events
  • Lead event registration processes, including pre- and post-event reporting
  • Oversee script creation and program timeline, secure event emcee and presenters, manage talent, create event slideshows, and secure and manage entertainment.
  • Oversee implementation and customization of silent and online auction platform, manage sourcing of items through tracking and follow-up, generate copy for all items, and manage auction launch in collaboration with third party auction vendors
  • Oversee and execute post-event tasks including thank you notes, surveys, and compilation of event analytics
  • Research, develop, and implement new, innovative approaches to drive the success and engagement of special events. Stay up to date with all current developments in the gala and virtual/digital event space
  • Set benchmarks for event-related goals, compile and present data pre- and post-event, and iterate event plans accordingly 
  • Plan scientific meeting and symposia, including securing venue (or digital equivalent); managing vendors, budget and logistics; creating event and program materials; managing travel, accommodations and reimbursements; coordinating with speakers; managing attendee registration and post-event follow-up

Committee Management

  • Lead, oversee, and be the ‘hub’ for the event planning committees and volunteers (up to 50 individuals per event) 
  • Lead recruitment and training of volunteers
  • Communicate regularly with the planning committee about progress and responsibilities and oversee committee tasks
  • Develop materials to support the planning committee’s success, including creating committee agendas, taking and disseminating meeting notes, creating and assigning to-do items based on meetings, writing solicitation letters, and ensuring follow-through 
  • Actively work with the committee to solicit and secure auction items

Sponsors and Major Donors

  • Collaborate with team members to develop and customize individual, community, and corporate sponsorship materials, track outreach and progress, manage sponsorship perks and ensure all perks are fulfilled on time
  • Manage donor recognition process and work with team to ensure all donors are properly recognized on digital and print assets
  • Maintain a comprehensive sponsor database
  • Organize and manage outreach and logistics for community fundraising events and parlor meetings

Ideal Candidates

  • Strong attention to detail, highly organized, motivated, and able to multitask while managing multiple priority projects at one time
  • Extensive experience with virtual and in-person event planning
  • Able to anticipate project needs, discern work priorities, and consistently meet deadlines
  • Work with initiative, creativity, competence, and have good judgment with an attitude of “leading with ‘yes’” and "whatever is necessary" to complete the job
  • Committed to excellence, quality and style with a strong eye for branding


  • 5+ years of professional experience in large-scale event planning with a proven track record of executing successful events, reaching goals, and staying on time and within budget
  • Experience with virtual events and digital engagement 
  • Nonprofit experience is preferred, but not mandatory
  • Demonstrated leadership experience
  • Must be technologically proficient 
  • Must be versatile, passionate, and able to wear many hats in a fast-paced environment
  • Demonstrated experience of successfully managing staff, volunteers, and event leadership committees
  • Able to work non-traditional hours, including evenings and weekends as needed
