About the position:

The position demands advanced understanding of sales tax regulations, the highest attention to detail, analytical and creative thinking, and basic understanding of accounting principles, good understanding of Excel, and excellent writing and interpersonal skills.


Primary Responsibilities:

1. Manage CertCapture tool on an ongoing basis:

a. Create member profiles by extracting and manipulating data from multiple data sources such as Wufoo and Salesforce.

b. Upload certificates into system.

c. Validate certificates as needed.

d. Maintain daily communications with members:

i. Confirmation that certificate has been approved.

ii. Notification of exposure due to invalid cert for missing information or required fields as well as expiration.

iii. Reminder for upcoming expirations

e. Clean up of data to maintain storage limits withing terms of CertCapture yearly agreements.


2. Manage/maintain Salesforce queue for Sales Tax Exemption to address expedited requests and or other issues that require attention.

3. Manage Avatax as needed to assure tool is working properly and filings are done timely and correctly.

4. Research and maintain sales tax product codes and communicate to Operations department.

5. Monitor and reconcile sales tax filing data to assure remitted amounts are correct and refunds are also filed with the states.

6. Monitor ongoing activity with non-nexus states to identify if one has been created.

7. Assist with Avalara and Magento 2.0 integration as needed.

8. Maintain communication with members and First Book staff regarding specific questions to sales tax.

9. Other tasks and data processing as needed.


Qualifications:

• Familiarity with sales and use tax regulations and tax audits.

• Advanced Excel skills – this individual will be responsible for managing and merging multiple source files from different systems in excel

• Organization Skills - manage multiple work streams on a detailed and complex project

• Communication Skills – may be asked to communicate with many groups within First Book (Operations, Member Services) and external (Avalara, state tax authorities)

• Financial and accounting acumen required to assist with tax filings

• Must be detail-oriented.

• Must have strong working knowledge of computerized accounting software, including Accounting Software and Excel. Sales Force and/or Accounting Seed experience preferred.

• Must be able to perform accurate work in a fast-paced environment.

• Must have strong, professional interpersonal skills and be willing and skillful in interacting with a wide variety of people. Pleasant and patient phone manner.

• Must be knowledgeable in the use and operation of standard office equipment.

• Must be dependable and punctual.

• Must understand and maintain confidentiality of sensitive information.


Education and/or Experience:

• Bachelor’s Degree in Accounting, Business, or Mathematics related fields required or an

associate degree plus equivalent experience.

• A Minimum of 3 years of related sales tax work experience required.

• Proficiency in Microsoft Office applications required.
