General Summary: This position is part of the Field Placement Team, which supports undergraduate and graduate teaching candidates during their student teaching. It involves managing internship and mentor teacher data, tracking paperwork, sending key communications to a variety of stakeholder groups (students, mentors teachers, SPU field supervisors, SPU faculty, and district officers), coordinating events, and collaborating with other teams within the School of Education and across SPU's campus. 


Job Description:

  • Communicates regularly with mentor teachers, mail introductory mentor packets, collect required forms, and maintain mentor data spreadsheets.
  • Calculates mentor stipend amounts and submit payment requests to Finance.
  • Collects quarterly required SOE course, state, and federal forms to meet grading and regulatory requirements. Creates and distributes electronic forms to capture field experience hours from students. Inputs placement data into the computer system.
  • Collects and processes clock hour forms for mentors and field supervisors quarterly.
  • Oversees preparations for quarterly mentor professional development meetings and quarterly field supervisor meetings. Assists placement coordinator with undergraduate placement process.
  • Creates and maintains current copies of Educational Affiliation Agreements and Certificates of Insurance for districts and independent schools.
  • Assists placement coordinator with undergraduate placement process
  • Assists with onboarding field supervisors, communicates with supervisors regarding deadlines for mid-year and final assessment submissions, and produces quarterly coordinator load reports for supervisor pay.
  • Updates electronic and print materials for mentors and supervisors, maintains the placement website, and edits/sends two mentor e-newsletters per quarter.
  • Reviews placement processes and workflow periodically to ensure compliance and efficiency, independently and through regular meetings with Field Placement Director and Field Placement Coordinator.
  • Assigns tasks and supervises student office assistant assigned to placement team. Leads hiring and training process for Student Office Assistant as needed.
  • Oversees coordination of the annual Education Job Fair.


Requirements:

  • High school diploma or equivalent, some college coursework preferred.
  • 1-2 years of experience in an office environment.
  • Experience managing data systems and coordinating events and managing interns or volunteers, a plus.
  • Excellent attention to detail and organization. 
  • The ability to streamline administrative processes is a plus.
  • Strong written and verbal skills.
  • Skill in working with diverse populations and a commitment to culturally responsive work practices.
  • Ability to manage multiple projects simultaneously.
  • Comfort working both independently and as part of a collaborative team.
  • Knowledge of or interest in P-12 education, a plus.
  • Proficient with Microsoft Office products including Outlook, Excel, and Word.
  • Experience with communication tools such as blog platforms and Mailchimp, a plus.


Additional Information:

Position will start in January of 2019.


Salary: $35,000 annually


This is a full time position with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance.
