Primary Purpose

The Development Assistant performs an array of critical support functions that ensures efficient and smooth operations for all fundraising, cultivation and stewardship initiatives. As the day-to-day point person for former, current, future clients and the overall adoption community, the ideal candidate brings the organization’s mission to a broader community.

The Assistant maintains and manages data entry and reporting for gifts and pledges, constituent information, event registrations and contact lists while assistant in events planning, and execution of ongoing administrative duties. This individual must possess excellent administrative skills, attention to detail, and an enthusiasm to connect with diverse communities.

Key Performance Indicators

Duties and Responsibilities:

  • Assist with processing of all pledges and contributions through the Raiser’s Edge database
  • Generate acknowledgement letters, tribute notifications and call sheets
  • Prepare monthly periodic gift reports
  • Assist with conducting monthly reconciliations with Finance; maintain gift and batch back up files
  • Assist in generating lists and collateral materials for solicitation mailings, invitations, phonathons, and other development activities 
  • Support the creative development of Fundraising appeals and email communication
  • Conduct donor prospect research (including Donorsearch Research Tools)
  • Oversee long-term filing, organization and digitization projects
  • Understand and support the organization’s mission and goals
  • Communicate these to clients/families while simultaneously maintaining relationships with external partners and vendors
  • Manage and promptly respond to all development and fundraising inquiries; provide courteous and professional customer service
  • Consistently seek ways to improve the donor experience while adding value to and supporting the Development, Events and Outreach teams
  • Assist Director of Events with ongoing fundraising event execution for SC families, donors, volunteers and staff
  • Participate in development and program event planning
  • Process registrations and ticket purchases for fundraising and cultivation events
  • Generate event updates and other collateral materials (name tags, programs, journals, etc.)
  • Respond to development event calls and emails; assist in managing communications and meetings with event planners; maintain special events files
  • Support events on-site, including set-up and breakdown; includes occasional evenings and weekends
  • Support development efforts by engaging with prospective donors and community partners

Performance and results:

  •  Monitor the quality experience of calls and emails to ensure the achievement and maintenance of stellar and timely customer satisfaction
  • Assist in donor database maintenance to ensure proper collection of information and follow-up for clients
  • Assist in the preparation of weekly performance metrics; report on key statistics
  • Perform any other department or agency-related duties or special projects as directed by supervisor

Education & Experience

  • Bachelor’s degree preferred
  • Entry level; 1-2 years’ relevant non-profit, administrative experience a plus
  • Proficiency in Spanish a plus

Technical Skills

  • MS Office –Proficiency in Word, Excel, PowerPoint and Outlook
  • Experience with CRM database systems encouraged
