Position: The Program Assistant works with the Director of Programming and the program team to support the needs of the Scholar Program and Next Generation Academy. The Program Assistant should have a solid track record of providing outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external customers. She/he must have a demonstrated interest in serving low-income youth and be passionate about the mission of Generation Hope. This position will be fully remote until public health guidance deems it safe to return to the office. Until that time, the responsibilities of this position will focus on administrative support rather than event support. 

Responsibilities: 

Administrative Support:

  • Manage all incoming volunteer applications, including holding onboarding calls with volunteers, explaining volunteer opportunities to prospective volunteers, and entering volunteer information into the appropriate database.
  • Execute volunteer appreciation efforts including thank you notes, soliciting volunteer feedback, etc. 
  • Manage background checks, including tracking background checks submitted and cleared, following up on any background check discrepancies or issues, communicating with other program staff about background check status of incoming mentors, and maintaining strict confidentiality in regards to sensitive information.
  • Match all Scholar tutor requests with appropriate tutors and facilitate initial connection between Scholar and tutor. If an appropriate tutor cannot be identified immediately, work to connect Scholar with resources on their campus and work to recruit an appropriate tutor.
  • Research and connect with potential community partners (as requested).
  • In partnership with the Communications team, update program-related sections on the website including Scholar information, application information, etc.
  • Solicit feedback from relevant staff and draft monthly e-newsletters for Scholars, Sponsors, Resource Families, and alumni.
  • As requested, support program staff with research on resources, college policies, etc.
  • Manage Scholar and Sponsor facebook pages.
  • Assist with program database management including data cleanup, ensuring that data is consistent across all databases, etc. 
  • Assist in scheduling, preparing materials for, entering data, and following up with attendees of outreach workshops. 
  • Support the Director of Programming in planning and conducting virtual events across programs including scheduling, technical support, note taking, and pre/post emails. 

Program Support (once Generation Hope returns to in-person programming): 

  • Staff our family-friendly study area in our office two evenings per week or one evening and a Saturday or Sunday afternoon per week so that Scholars can study and use computers/printers while children play.
  • Attend evening or weekend events such as Family Dinners, trainings, etc, assisting staff with facilitation, logistical support, on-site event management, and coordination as needed.
  • As needed, plan Family Dinners for Scholars participating in Next Generation Academy, including either planning curriculum or finding facilitators to lead workshops on parenting topics as well as managing logistics for these events.
  • Plan and execute at least 2 “Study Halls” per year with childcare volunteers and snacks for Scholars during final exams and track attendance data.
  • Manage and track “lending library” of exam preparation books offered to Scholars.
  • Maintain supplies of snacks and school supplies for the Scholar/child area in the office and work with the Operations Team to reorder.
  • Work with the Director of Programming to track usage of study area for program evaluation reports.
  • Attend at least one Monday staff meeting per month and one Monday Program Team meeting per month.

In-Kind Donation Support: 

  • Assist with maintaining an organized storage space.
  • Take regular inventory of items in storage and discard items that are expired, not in good condition, no longer useful, etc. 
  • Work with other program staff to manage pick-up, drop-off, and sorting of Fall and Spring Wish List and Holiday Adopt-A-Scholar items.

  • Associate’s Degree or equivalent combination of education and experience
  • Friendly and personable, can put anyone at ease
  • Experience and skill managing complex projects and events 
  • Flexible and adaptable to changing circumstances and needs
  • Extremely organized and detail oriented
  • Access to a car to travel to events 
  • Flexible schedule with evening and weekend availability 
  • Unquestioned integrity and commitment to the mission and values of Generation Hope 
  • Comfortable with computers and office software (Microsoft Office, Google Drive, etc) 
  • Flexible and willing to jump in and help where needed

THE FOLLOWING QUALIFICATIONS ARE PREFERRED: 

  • Bilingual Spanish/English a plus 
  • Bachelor’s degree preferred
  • Workshop facilitation experience a plus 
  • Experience working with young adults and children preferred
