Role Overview

We are a small, close-knit, entrepreneurial, hands-on office looking to round out our team with a Grants and Administrative Assistant who will support the Executive Director and Program Director in the foundation’s work.

This is a part-time position of approximately 30 hours/week with some work schedule flexibility.

Responsibilities will include the following, in varying degrees depending on work flow, as well as other tasks as needed.



·     Maintain grants management database, including tracking grants, entering program notes, generating reports, and more

·     Coordinate grant payments with finance staff

·     Manage grant application and reporting process and cycles

·     Create spreadsheets, summaries, and other program reports and presentations

·     Draft grant agreements and other correspondence

·     Build relationships and communicate with grantee partners



·     Schedule and arrange details for calls, meetings, and site visits

·     Travel arrangements and expense reports

·     Maintain calendars as requested

·     Phone coverage and email correspondence

·     Mailings, copying, and related tasks

·     Maintain hard copy and electronic files

·     Assist with creating PowerPoint and other presentations and compiling materials for board and other meetings

·     Attend meetings and take notes as requested

Other Program Assistance

·     Online research

·     Assist with website and social media content development and updates

·     Special projects as requested



·     Bachelor’s degree

·     Minimum of two years work experience

·     Experience in philanthropy or nonprofit sector a plus but not required

·     Computer skills, including proficiency in MS Word, Excel, and PowerPoint

·     Strong organizational skills

·     Detail-oriented

·     Work well independently and collaboratively

·     Excellent communicator

·     Hard-working and eager to learn

·     Flexible
