The International Assistant is responsible for providing administrative program support for families through the following stages of the International Adoption process: registration/application, home study and home study update/addendum, USCIS, dossier, waiting for referral, referral acceptance, pre-travel, post-travel, post-adoption and resource connection.
The ideal candidate will support all families completing international adoptions which includes working with families on their country-specific paperwork. The position supports all three international programs (South Africa, Colombia and Bulgaria). Additionally, the International Assistant will support families who have adopted previously in providing information, with guidance from the International staff, about securing Citizenship documentation for their adopted children.
This individual will refer families to appropriate resources within the agency (MFC, Permanency Services, PAH, etc.) as needed and with guidance from the International staff.
Key Performance Indicators
· Work with the International team to facilitate the adoption process for families adopting from Colombia, South Africa and Bulgaria
· Assist clients in preparing home study documents and country-specific paperwork
· Review each document upon receipt for accuracy and completeness; communicate with clients regarding needed follow-up
· Track document expirations over the full life of a case and assure timely updates of documents
· Maintain weekly tracking reports for all in-process families to assure that their case is moving forward
· Maintain electronic records in a timely manner including SAM case notes and SAM document uploads
· Track client payments at time of registration, and when program or professional service fees are due (in communication with International staff and Finance)
· Act as liaison with clients, attorneys, and other agencies, and staff internally
· Maintain program packets, update packets on an as-needed basis, when practices and documentation evolve
· Notarize documents for staff and clients
· Authenticate documents at County and State Department offices and Country Consulates as needed (requires travel within New York City, areas accessible by public transit)
· Process fingerprint and child abuse clearances for clients
· Log communication with clients and third parties in agency database in a timely manner
· Provide support during team meetings including any preparation needed and minutes
· Perform any other department or agency-related duties or special projects as directed by supervisor
Education & Experience
· BSW preferred or Bachelor’s Degree in Human Services related field or significant relevant work experience
· Experience in foster care, child welfare, child development, children/families or adoption
· Notary Public License preferred or willingness to become a notary
· Bi-lingual preferred (Spanish speaking)
· Proficiency in computer applications, such as Word, Excel, PowerPoint and basic Adobe
· Knowledge of Salesforce, SAM or other database optional
· Excellent interpersonal communication, organizational, and writing skills
· Ability to be flexible and work well under pressure
· Ability to multitask and effectively organize, with a strong eye for detail
· Sensitivity to cultural diversity and cross-cultural issues as well as adoption issues
· Ability to work independently and in group settings
