POSITION SUMMARY:

Women’s Lunch Place is looking for a personable, detail-oriented team member. This is an exciting position for someone new to the non-profit world and looking to develop their skills in the Development and Administration spheres.

The ideal candidate will be comfortable working on many different projects simultaneously, utilizing flexibility and organizational skills to prioritize tasks and support operations, understanding that the level of duties in each department will vary. Development duties will include providing administrative support in maintaining our donor database, gift processing, donation acknowledgment, and event campaign assistance. General office administrative duties will include supporting the Executive Director with monthly and ad hoc Board document preparation, communication, and scheduling. This position provides exposure and experience in multiple facets of non-profit administration.

Exempt Status: Exempt    

Position Status: Full Time (40 hours per week, Mon-Fri), Occasional evenings/weekends

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Development:

  • Responsible for timely gift processing, including tribute gifts and donation acknowledgements
  • Maintain the data accuracy in Raiser’s Edge, Greater Giving, and Email databases, including regular data review and corrections
  • Operate electronic giving sites, website donations as well as social media giving platform
  • Manage daily and monthly income reports and assist the accounting department with cash reconciliations
  • Generate mailing lists as needed
  • Work with Development Operations Officer to conduct preliminary research on foundations, corporations, and individual donor prospects
  • Maintain current accreditations of all federal, state, and local grant requirements including SAMS registration, Certificates of Good Standing, and Certificates of Solicitation
  • Assist with all aspects of the two signature fundraising events including direct mail, printed material, donor communications, registration, silent auction, raffle, registration, and volunteers the day of the event
  • Manage record keeping for solicitation and cultivation of event sponsors and supporters, including invoicing and tracking attendees and guests’ information
  • Provide administrative support as needed on all fundraising initiatives, including campaigns, special appeals, cultivation events, and in-kind solicitations
  • Prepare materials and presentations for meetings and events of all committees
  • Assist with online shop, Mother’s Day Card and Holiday Card Campaigns and event fulfillment
  • Support community-led fundraising events (occasional evening and weekend attendance)
  • Represent WLP at marketing events as needed
  • Responsible for all coordination, communication and tracking of in-kind giving in the community and directly to the shelter
  • Assist with other projects as assigned

Administration:

  • Coordinate and send administrative, development and financial mailings
  • Prepare all Board and other committee information packets, update Board Manual annually, attend and take minutes at monthly Board meetings (evenings)
  • Scan bills to accountant on a weekly basis
  • Create nametags, business cards, building IDs for all new employees
  • Oversee phone system
  • Update and maintain staff phone lists
  • Order phones as needed
  • Assist with running payroll, including distributing and collecting timesheets
  • Assist with mail pick-up, banking, and other errands as needed
  • Monitor office supplies, copier/postage machine maintenance

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

Education and Experience:

·      Bachelor’s Degree preferred

·      Experience working at a non-profit is a plus

·      Proficiency with Microsoft Office Suite and databases (Volgistics and/or Raiser’s Edge experience preferred)

·      Familiarity with graphic design software a plus

Language and Communications Skills:

  • Strong organizational skills, high level of responsiveness, effective listening, and writing skills
  • Ability to manage in-person requests and phone/email contacts

Other Skills and Abilities:

  • High attention to detail
  • Ability to multi-task, set priorities, and meet deadlines
  • Commitment to working with women experiencing poverty and homelessness
  • Commitment to a team approach of working with staff members, volunteers, interns, and guests
  • Ability to practice confidentiality and respect while handling donor information and working around vulnerable populations

Physical activities include:

The employee is occasionally required to stand, walk, and use hands to finger, handle or feel controls. The employee must occasionally lift and/or move up to 30 pounds. Specific vision and hearing abilities required by this job include close vision and distance vision and ability to hear conversations in office and group settings. Attendance at appointments, meetings or events in the community is required.
