Job Overview:

Community Solutions (CS) is seeking a very detail-oriented and self-motivated individual to support our small but mighty General Operations (GenOps) team as a BFZ Operations Coordinator. The GenOps team strives to create an optimal environment at CS for our staff to grow, thrive, and work seamlessly towards ending homelessness and the conditions that create it.

Since 2015, we have led Built for Zero, a movement of more than 70 cities and counties using data to radically change how they work and the impact they can achieve — and proving that it is possible to make homelessness rare and brief. Nearly half of those communities have reduced homelessness in their communities, and 13 of those communities have ended veteran or chronic homelessness. In order to help communities equitably and sustainably end homelessness, we are also working to identify solutions that can address gaps in housing, disrupt inflow into homelessness, and produce more racially equitable systems.

Defining Success for this Position:

  • Work with the Compliance and Contracts Officer to ensure BFZ contracts are processed in a timely manner..
  • Work with the Compliance and Contracts Officer to ensure Learning Sessions Logistics are seamless and expenses are minimized.
  • Financials are managed with precision and leads have all the information they need to plan their budgets, while overall costs are minimized. 
  • Payments are scrutinized and made in a timely manner with minimal need to recode expenses.
  • Revenue is tracked and updated in real time.
  • Be responsive and offer solutions to ensure BFZ Principals and team are supported.
  • Be responsive and offer solutions to ensure the CFO, COO and Ops team are supported.

Essential Duties and Responsibilities:

  • Assist with the management of contracting and invoicing for all BFZ services, including tracking approved contracts with clients, tracking and approving team member hours and generating invoices to clients.
  • Assist with the management of pass-through grants to communities and monitor the communities’ performance related to meeting deliverables outlined in the grant agreement
  • Identify tools and strategies for continuously improving BFZ contracts and invoicing processes, as well as general financial management.
  • Work with Team Excellence lead to support onboarding process for incoming staff and contractors, carrying out an orientation for the staff/contractors on CS processes, procedures, and internal operations
  • Serve as primary liaison between BFZ team and General Operations for all matters concerning contracts, budgeting, and financial management
  • Reconcile company credit card expenses - coding to revenue and expense codes for BFZ principals.
  • Assist the Principals of Built for Zero develop and monitor the BFZ budget.
  • Assist the Principals of Built for Zero on financial reconciliation and real time aging report information, including prep in advance of budget and revenue calls. 
  • Work with the lead for Team Excellence, team leaders, and GenOps to develop, improve and implement processes and procedures that support seamless internal operations.
  • Support logistics for conferences and other events upon request.  
  • Coordinate travel for all team members upon request.
  • Review and process external payment requests. 
  • Invoicing is timely and accurate, with real time aging.
  • Financials are managed with precision and leads have all the information they need to plan their budgets, while overall costs are minimized. 
  • Be responsive and offer solutions to ensure BFZ Principals and team are supported.
  • Process and team members’ requests for reimbursements for personal expenses.

Qualifications:

  • Bachelor’s degree or equivalent.
  • Passion for ending homelessness.
  • Clear, direct and timely conflict management and resolution
  • Commitment to personal growth and learning.
  • Two years of previous management experience in a professional environment.
  • Maturity and wisdom beyond years.
  • Strong project management skills, including being detail-oriented and managing toward aggressive timelines.
  • Open to giving and receiving feedback in a way that is honest and non-judgmental.  
  • Excellent communication skills (both interpersonal and written).
  • Ability to work independently and self-manage to achieve goals while being a strong team player.
  • Strong negotiation, mediation and listening skills.
  • Ability to think strategically, including process level thinking, ability to optimize systems and resources and think ahead to next steps.
  • Ability to lead a group through the appropriate mode of decision making for the situation, i.e. usually consensus, but able to fall-back to voting or simply deciding as needed.  
  • Ability to remain unflappable under pressure and to reassure others in a small, fast-moving environment.
  • Ability to organize, meet deadlines and delegate appropriately.
  • Ability to cope with and embrace change, risk and uncertainty.
  • Willingness to embrace and actively support the unique culture and values of Community Solutions.

Salary Range:

CS offers competitive salaries and benefits packages for every position. The salary range for this position is $43,350 - $48,200 and will be based upon experience.

None

Work Environment:

This position can be located anywhere in the US (Eastern or Central Time Zones preferred) and provides for the flexibility to work from a remote location without the standard support available at an office .
