The Executive Director (ED) of Harboring Hearts provides executive level vision and leadership for the organization. The focus of this role will be creating future financial sustainability, a plan for growth and expansion. Reporting to the Board of Directors, the ED will be the public face of the organization. The ideal candidate will lead the strategic direction of the organization and be responsible for articulating the vision, leading all fundraising efforts and providing oversight to the day-to-day administrative functions of the organization. They will assure that the organization, its mission, and programs are consistently presented with a strong, positive image to all stakeholders. The ED will manage all staff and consultants. This role will oversee the organization’s programs and guide the development of new programs. 

The ED will have ongoing meetings with the Founder of Harboring Hearts. In addition, there will be a clear, defined transition plan with the outgoing Executive Director of Harboring Hearts. 

This position is full time or 4 days a week, flexible for the right candidate.

Key responsibilities include:

Organizational development:

  • Continue to develop the organization’s infrastructure, including operating systems, processes and structure to enhance functioning
  • Establish annual organizational goals through a strategic planning process and the timelines and strategies to achieve them
  • Strengthen existing and foster new programmatic and fundraising partnerships
  • Streamline data gathering and reporting for all stakeholders 


  • Work with the Board to create and implement a high level strategic Annual Fundraising Plan to grow revenue from $600,000/year to over $1 million/year in 3 years.
  • Develop, plan and implement successful fundraising events, including annual benefit
  • Maintain strong relationships with high level existing donors and establish new relationships
  • Secure new grants by establishing new relationships and demonstrating strong grant writing skills
  • Engage strategically in partnership development and management
  • Research new funding sources and develop new revenue streams
  • Manage development staff

Program oversight and development:

  • Oversee the development, planning, implementation, evaluation, and reporting processes for the organization's programs and services
  • Ensure that the programs and services offered by the organization contribute to the organization's mission, meet a critical community need, and reflect the priorities of the Board
  • Develop, maintain or improve programmatic partnerships with hospitals, organizations, communities, and individuals
  • Communicate with the Board and stakeholders to keep them informed of the work of the organization and to identify changes in the community served by the organization
  • Manage, Coach and mentor the Director of Programs & the program team. 

Financial management: 

  • Work with Board, staff, bookkeeper and accountant to create annual budget and financial statements
  • Work with staff and accountant to produce monthly, quarterly and annual financial reports
  • Manage organization’s resources within budget guidelines
  • Manage audit process, charity registrations, corporate/legal filings, and 990 tax return filing
  • Ensure all necessary fiscal controls are in place and the organization is compliant in all areas


  • Oversee & guide the organization’s public profile, communications, and public relations including all social media representation
  • Leverage external presence and relationships to garner new opportunities
  • In partnership with co-Founders, serve as the primary spokesperson for the organization
  • Represent the organization at public events

Board development:

  • Ensure the Board members have the necessary information about organizational issues to execute their duties responsibly
  • Prepare materials and agendas for board meetings (3 per year)
  • Seek out and cultivate relationships with potential Board members, grow the Board
  • Create Advisory/Honorary Board
  • Provide guidance and management for the Board
  • Manage and cultivate the thriving Junior Board


  • Recruit, hire, training and manage the Harboring Hearts team 
  • Develop and implement staffing policies and procedures


The ED will be thoroughly committed to Harboring Hearts’ mission. All candidates should have proven leadership, coaching, and relationship management experience. Concrete demonstrable fundraising success and other qualifications include:

  • Commitment and Passion for working with transplant and cardiac patients and their families
  • Bachelors degree, with at least 7 years of management and fundraising experience 
  • Demonstrable success in hitting high level fundraising goals
  • A track record of effectively leading and regionally and/or nationally scaling a performance- and outcomes-based organization and staff; ability to point to specific examples of having developed and operationalized strategies that have taken an organization to the next stage of growth
  • Unwavering commitment to quality programs and data-driven program evaluation
  • Excellence in organizational management with the ability to coach staff, manage, and develop high-performance teams, set and achieve strategic objectives, and manage a budget
  • Past success working with a Board of Directors with the ability to cultivate existing board member relationships
  • Strong marketing, public relations, and fundraising experience with the ability to engage a wide range of stakeholders and cultures
  • Grant writing success and ability to network with foundations
  • Leadership experience in the philanthropic sector preferred
  • Strong written and verbal communication skills; a persuasive and passionate communicator with excellent interpersonal and multidisciplinary project skills
  • Action-oriented, entrepreneurial, adaptable, and innovative approach to business planning
  • Ability to work effectively in collaboration with diverse groups of people
  • Passion, idealism, integrity, positive attitude, mission-driven, and self-directed
