Your role stands at the intersection of providing support to our affiliates and the fight to change the odds for historically underserved children and families as a key member of Stand’s National Finance team. In Stand’s fast-paced work environment, you will immediately be a major contributor to the finance team directly supporting the work of our national teams and affiliate offices in our shared passion for the mission. This position is responsible for all accounts payable functions, employee credit card and out of pocket expense administration, and acting as payroll assistant. Stand is a non-profit education advocacy organization focused on ensuring all students receive a high quality, relevant education, especially those whose boundless potential is overlooked and under-tapped because of their skin color, zip code, first language, or disability.
· Employee Credit Card and Out of Pocket Expense Administration (Chrome River)
o Set up and maintain employee information in the Expense Reimbursement System;
o Conduct training for all employees as they become eligible for expense reimbursement. Update training materials as required;
o Provide customer service for employees, ensuring that expenses are entered and paid according to schedule. Be the liaison between the employee and the Expense Reimbursement System, researching and correcting problems;
o Ensure compliance of employee expense report submission and approval due dates;
o Order new credit cards and terminate cards as required. Set up limits and exclusions for credit cards, review and adjust as necessary;
o Upload and download data to/from the Expense Reimbursement system. Run reports as required;
o Audit data for proper approval, documentation, coding, and amounts. Reconcile the data to the amounts paid and entered in NetSuite. Follow up on employee personal expense payments.
o Upload data to the NetSuite accounting system;
o Receipt tracking and uploading monthly receipt file to SharePoint;
o Finance team projects as required.
· Accounts Payable (NetSuite)
o Responsible for the accurate and timely payment of all amounts;
o Enter and maintain all vendor records in Netsuite;
o Monitor and respond to the finance admin mailbox; maintaining strong customer service orientation;
o Maintain upload files for recurring charges, daily input of bank transactions, and work with affiliate offices to prepare bulk uploads of vendors and payments;
o Prepare and file annual 1099s and Unclaimed Fund Reports;
o Other duties as assigned.
· Payroll Assistant (ADP)
o Prepare the biweekly Timesheet report, audit, and make corrections, send out for review and approval;
o Audit the biweekly Payroll Preview, verify new hire information, changes, adjustments and review all data for accuracy;
o Back up the payroll function as necessary.
o Passionate and unwavering belief in Stand for Children’s mission and strategy to ensure that all children, regardless of their background, graduate from high school prepared for and with access to college or career training;
o Minimum of 5 years of relevant professional accounting and 3 years payroll administration experience with strong understanding of accounting practices;
o Bachelor’s degree in Accounting or Finance or related field or equivalent related experience;
o Excellent customer service skills, with the ability to smoothly and accurately help employees with any challenges they face in the Expense Reimbursement System;
o Ability to provide respectful and clear communication in person, through email, on the phone or through video conferencing;
o High level of comfort with technology, experience in cloud-based systems. Proficiency in Excel; preferred familiarity with PowerPoint and Outlook;
o Outstanding time management, planning, prioritization, and organizational skills;
o Ability to work independently, but also enjoys being part of a team;
o Proactive problem solver with strong attention to detail;
o Ability to transport items (less than 10 pounds); ability to be stationary for extended periods of time; may require the ability to climb stairs.
