Director of Administration Rubicon Landscape

 

Rubicon Landscape Group supports the efforts of Rubicon Programs, a non-profit focused on eliminating poverty. We’re looking for a Director of Administration to join our team of mission-driven professionals. The Director of Administration will manage administrative staff, develop and improve processes and procedures. This position is pivotal in aligning operations, enhancing end-to-end-customer service interactions, improving employee performance, and generating positive revenue growth.


RESPONSIBILITIES

Business Policies, Procedures and Systems Management 

  • Develops organizational policies and procedures
  • Ensures that protocols are organized, documented, up-to-date, staff are trained on current procedures and functions are properly assigned and monitored
  • Develops necessary checklists and RACI charts
  • Leads the development and implementation of division-wide data and information sharing systems, and management systems and services. Documents business process needs and recommends solutions including documentation, standardization, and improvement of administrative functions especially leveraging effective software usage
  • Develops workflows to determine necessary improvements
  • Develops implementation work plans
  • Directs the development and implementation of human resources needs, customer service, contract compliance and financial goals and objectives that are consistent with Rubicon Landscape Group goals and objectives
  • Oversees the Landscape performance evaluations process
  • Generates financial performance insights and performance variances and recommends corrective action. Manages processes for the annual budget preparation and ongoing budget management including the use of metrics such as KPI’s and dashboards to measure performance 
  • Ensures that administrative functions run smoothly, eliminate wastage, and improve our organization's financial standing through accurate expenditure monitoring and budget forecasting
  • Manages the quality control within our bidding processes and instruments

Business Compliance and Management

  • Works with the administration team and account management to ensure pre-contract and post-award requirements are met; including ensuring prescribed client reporting and communication and contract performance
  • Leads major contract renewal projects and participates in all other contract renewal projects
  • Proactively promotes compliance with client, local, state and, federal regulations and Rubicon Landscape policy; leads all internal and external compliance audits and ensures corrective measures are implemented
  • Supervise Administrative Team; interact with landscape employees at all levels, customers and vendors in a manner that fosters collaboration and promotes customer service

COMPETENCIES

  • Sincere interest or connection to Rubicon Programs’ mission
  • Deep passion for improving administrative systems and processes accompanied by the organizational and technical skills to carry out the improvements
  • Proven program & project management and process management skills
  • Advanced technical skills: MS Excel, MS PowerPoint, MS Word, MS Visio, MS Project (preferred skills in Sage, Salesforce, Janmar, TSheets)
  • Solid experience delivering executive- level reports, such as P&L statements, business dashboards, program status reports
  • Can manage gathering necessary resources for implementation of division initiatives
  • Experience building custom tools from scratch when necessary
  • High adaptability; able to effectively collaborate with multiple stakeholders, can build trust, possesses integrity; embraces hard work
  • Maintain confidential information; reliable and self-motivated
  • Excellent oral and written communication skills; fluency in Spanish preferred; interpersonal flexibility and solid teamwork
  • Construction project management or related industry knowledge, including licensing board, is highly desirable

STARTING PAY: $90k-$110k (depending on experience)
