Business Manager

The Business Manager oversees and coordinates day-to-day operations in several important areas of the organization, including finance, human resources, and facilities. Reporting to the Executive Director, the Business Manager works closely with the Development and manages contracted Accounting / HR support to ensure smooth operation of the office and facility, compliance with financial and HR policies, and accurate maintenance of financial, personnel, and administrative records.

Financial Office

In concert with the Executive Director, ensures the organization is meeting its obligations relating to internal policies and external financial reporting and compliance.

Oversees the preparation and periodic recasting of the annual organizational budget. Tracks performance against budget and cash flow forecasts in conjunction with contracted accounting support.

Assists with the design of financial policies and oversee compliance with internal control procedures.

Acts as the primary interface with the bookkeeping system QuickBooks to enter deposits, invoices, and related transactions.

Acts as the primary interface with vendors including vendor set-up, invoice and payment, vendor performance, and risk management.

Interfaces with the auditors in conjunction with the external accounting firm to schedule and manage the annual audit, preparation and filing of financial statements and related regulatory and tax filings.

Interfaces with banking and investment organizations, maintaining administrative controls, overseeing performance of bank functions, and resolving issues.

Interfaces with the investment organizations for advice on the performance and management of investment funds and reporting to the Finance/Executive committees and related Board groups. 

Maintains financial management reports and Board of Trustees reports. Coordinates with the development team to maintain database records in order to satisfy financial reporting and development objectives.

• Supervises the Registrar’s duties to create processes and timelines for the accurate entry of transactions in the CRM system.

• Reconciliation of the CRM system to the financial records for programming and contributions.

Human Resources

Coordinates the maintenance of the HR function with the external contractor, including monthly payroll and related tax processing, managing employee benefits, attendance, vacation, and reviewing associated management reports.

Supports the Executive Director’s hiring, performance review, and termination processes, including resume screening, interviews, regulatory screening (e.g., CORI), on-boarding of new staff, personnel records, and board reporting materials.


Administration, Facilities, Risk and Information Systems Management

Manages lease and commercial insurance relationships and renewals (Commercial Liability, D&O Liability, Employee Fidelity, Flood, and Workman’s Compensation.)

Oversees the establishment and maintenance of the IT Governance policy in conjunction with the IT personnel to implement adequate internal controls and manage risks that will affect the continuity and financial health of the organization. 

Oversees performance of maintenance, cleaning, and other facilities vendors.

Initiates or supports special projects in areas of responsibility (as assigned by the Executive Director).

Maintains office equipment, lightbulbs supplies, stationery, etc.

Coordinates staff coverage.


Board Support

Manages Board of Trustees reporting cycle.

Compiles and distribute packets for Board, Executive and Finance committee meetings.

Transmits meeting reminders to board members.

Compiles agendas with input from the Executive Director, President, and Treasurer.

Updates and distributes board lists, committee lists, meeting dates, and other pertinent information for board members.

Provides logistical coordination for board and committee meetings, including catering.

QUALIFICATIONS

The ideal candidate for this position will have:

A bachelor’s degree 

Two years of office management experience, including HR management 

Fluency in QuickBooks and the MS Office Suite

Excellent written and verbal communication skills

Strong project management skills

The gallery and our permanent collection, which includes works by Peter Birkhäuser, is open to the public with free admission during business hours, including Saturdays. 

Community Outreach. The Jung Center serves Houstonians through outreach programs and partnerships with respected nonprofit organizations and medical institutions. Our programs serve at-risk children, professional caregivers, and those treating patients with life-threatening illnesses.
