We are looking for a full-time (40 hrs/ week) Program Assistant. This position is a wonderful hands-on introduction to both nonprofit work and small business issues. The Program Assistant will be able to interact with and learn from successful women entrepreneurs while helping with programs that empower women business owners and level the playing field for women in business.

You are: an organized, conscientious individual who is detail oriented and can communicate effectively with our members and applicant WBEs.

The Program Assistant works closely with the NY Executive Director and Program Manager and provides support in the following areas:

o Manage correspondence with applicants concerning application including missing information, questions/concerns and current status

  • Provide information on how to obtain incorporation/organization documents
  • Provide guidance for sending in complete applications – develop tools that may help WBEs send in complete applications

o Manage incoming certification files

  • Enter incoming mail, process checks and check log daily
  • Review files:
  • Log incoming files for WBENC and WOSB
  • Maintain GoldMine database
  • Maintain WBENCLink
  • Maintain internal spreadsheets for agenda add on and incomplete and WOSB
  • Manage filing for active files

o Responsible for recertification retention

  • Send recertification/expiring reminders
  • Send missing document reminders for incomplete files

o Process files post meeting

  • Update WBENCLink with certification status
  • Manage filing of completed files, new files, and files that need site visits

o Responsible for retention and destruction based on WBENC retention policy

o Review and Process WOSB files

o Review recertification applications with no changes

o Assist with business development programs and events for women’s business enterprises

  • Preparation, set up, clean up
  • Greeting and guidance

o Assist with documentation of event through photos or testimonials

o Assist with development for points of communication and news updates with WBEs

o Travel to conduct site visits as requested by Program Manager and Executive Director

o Assist Program Manager as needed

o Other duties as assigned by Executive Director


  • Bachelors degree required
  • Computer and Internet savvy. Proficient in Office Suite
  • Highly organized and good follow through skills
  • Excellent verbal and written communication skills
  • Strong customer service skills
  • Ability to work independently, efficiently, and prioritize
  • A valid driver’s license and a willingness to drive required
  • Local travel on a regular basis is required (some domestic travel)
  • Ability to attend occasional morning and evening events
