Position Description

The Grants Database Manager will be responsible for the day-to-day grant data system and workflow of the Foundation’s grants. This newly created position will engage in all stages of a grant’s lifecycle and will be part of a highly collaborative team that works together to make decisions. The Grants Database Manager partners with our three Program Officers and Executive Director to support relationship development strategies and organize learning opportunities with grantees. The ideal candidate enjoys a start-up environment, comfortably juggles a range of duties, and values the opportunity to help the foundation develop this role.

Key Responsibilities

Primary Responsibility: Grant Management

  •  Maintain accurate and current data in grants management system, including contact updates, weekly activities/site visits, and grant cycle information; Set up and monitor grant payments and reporting schedule
  •  Draft and send correspondence templates, including grant notifications and award agreements
  •  Conduct eligibility verification and due diligence on applicant organizations to ensure applicants are eligible to apply for a Satterberg grant, that meet both IRS standards as well as internal Satterberg standards (such as IRS tax code verification, budget threshold, staff size, financial variance of organization’s tax returns) that is required in the decision-making process
  •  Design and improve the Foundation’s use of grants database (including coding structures, award templates, etc.). Particular emphasis on streamlining and automating processes to improve workflow and efficiency

Secondary Responsibility: Program Support

  • Join the Satterberg team in answering telephone calls and emails, and field questions from nonprofit organizations regarding the grant process and program eligibility
  •  Provide program support for the maintenance of active grants including regular communications and technical problem solving with grantees
  •  Coordinate Satterberg Foundation site visits and learning sessions, including scheduling, travel arrangements, venue preparation, ordering meals and beverages, setting up phone conferencing and audiovisual equipment, and other general administrative requirements for meeting preparation
  •  Attend grant program team and committee meetings, preparing minutes for review and managing action items

Other Responsibilities:

  • Represent the foundation professionally by attending foundation, community, and grantee events as appropriate
  •  Participate in ongoing professional development opportunities as appropriate
  •  Other duties as required


  • Any combination of education and experience that provides the required knowledge, skills and abilities to perform the work
  • Excitement about using technology as a tool for good to streamline processes, improve organizational performance, and allow program team to be more fully engaged in building supportive, values-focused relationships with partners
  • Strong experience with database management and creation of reports
  • Superior organizational skills and detail-oriented with attention to accuracy, deadlines and ability to prioritize
  •  Proficiency with Microsoft Office suite
  •  Strong customer service orientation, particularly when working with grantees, the Board, and Satterberg family members
  •  Comfort to interact respectfully with people of diverse backgrounds, perspectives, and cultures
  •  Ability to work in an open and collaborative work environment
  •  Self-starter who is adaptable and comfortable taking chances and learning from mistakes
  •  Flexibility to adapt when faced with changing needs and priorities
  •  Commitment to the Foundation’s values, service and compassion
