POSITION SUMMARY

The Hewitt School advancement office seeks a leave replacement for the associate director of events and parents’ association liaison from December 1, 2021 through June 15, 2022. This position will overlap with the current staff member at the beginning and end of the leave to ensure a smooth transition. The position offers some flexibility to work remotely or on campus. Attendance is required at all events overseen by this position and requires frequent early morning and evening hours. 

The ideal candidate is a self-starter with extensive knowledge of event planning, including vendor relations, contract negotiation, financial acumen, and proficiency hosting events in person and on Zoom. Experience working with volunteers desired.

Working in collaboration with the director of advancement, the advancement team, school leadership, and the parents’ association (PA), the associate director of events and parents’ association liaison is responsible for optimizing the experience and touchpoints of key stakeholders - defined as prospective families, current parents and extended families, donors, the professional community, and alumnae. 

The associate director of events and parents’ association liaison will work with the PA as their primary contact within the school. In certain instances, the director of advancement and head of upper school and assistant head of school will also liaise with the PA. The associate director of events and parents’ association liaison will help to formulate the agenda for, and help to lead all formal committee meetings related to the PA, strategize around key volunteer roles, and play a part in the management, recruitment, and retention of key volunteers. The associate director of events and parents’ association liaison will facilitate events and activities on behalf of and in partnership with the PA, and represent the parent voice to colleagues within the school.

Together with the director of facilities and operations, the associate director of events and parents’ association liaison will also play a major role in aspects of overall school operations. This includes management of the school calendar including room reservation management, internal and parent facing calendars, partnering with the communications team on event and parent relations content, including the website, social media, and printed materials, and liaising directly with the catering manager to ensure appropriate ordering and menu selections for all events. The position will also entail a general oversight of weekly newsletters to all parents to ensure consistent messaging throughout the K-12 experience. 

ESSENTIAL FUNCTIONS/RESPONSIBILITIES

  • Event Management
  • Collaborate with the advancement team, school leadership, and the parents’ association to execute approximately twenty events of varying sizes and locations, including online
  • Consult with, and in some instances, attend and oversee events related to admissions, diversity, equity, and inclusivity, and activities related to the grade 12 experience


  • Parents’ Association Liaison
  • Serve as the primary internal contact for the PA board
  • Lead and inspire twelve critical school volunteers
  • Attend all PA committee and subcommittee meetings
  • Strategize with the PA board regarding key volunteer roles, and play an integral part in the management, recruitment, and retention of volunteers
  • Work with the communications department on behalf of the PA to compose and distribute all PA related communications and event marketing materials


  • Calendar Management
  • Manage the school calendar as a member of the calendar management team 
  • Ensure all parent facing events are entered and published in all appropriate channels of Veracross, including appropriate catering, maintenance, and technology requirements
  • Ensure all newsletter events have a description, location, and meeting link when necessary
  • Meet with Hewitt’s catering manager weekly to ensure all event submissions are accurate. When necessary, follow up with faculty and staff on questions related to submissions


QUALIFICATIONS REQUIRED

  • Demonstrated commitment to anti-bias education and social justice
  • Bachelor’s degree
  • Expertise with Microsoft Office (Word, PowerPoint, Excel), Google Suite (Gmail, Google Docs, Google Sheets, Google Slides), and Zoom meetings and webinars
  • Outstanding interpersonal and communication skills
  • Strong project management skills with the ability to juggle multiple projects at a time; ability to break projects into trackable tasks and to meet delivery deadlines

QUALIFICATIONS DESIRED

  • Fundraising and/or volunteer management experience in a school setting 
  • Culturally responsive approach to communicating
  • Proven dedication to professional growth and purpose-driven practice
