$62,400 - $72,800The compensation for this half-time position is: $60-70 per hour, depending on experience and qualifications.

The California Partnership for Safe Communities (CPSC) seeks a senior financial administrator/office manager. The position is half-time but well compensated and offers excellent benefits. We're looking for a candidate with: (a) demonstrated experience and expertise in bookkeeping, budgeting and the application of basic accounting principles; and (b) the desire to contribute to our mission by actively supporting our work in an office manager capacity.

CPSC works with cities to achieve sustainable reductions in violence while pursuing criminal justice reform. We engage a broad cross-section of stakeholders to implement evidence-based interventions and reduce reliance on enforcement strategies that increase incarceration and recidivism. CPSC consists of three partners who work closely with a small team of senior consultants. While this mission requires a highly motivated, experienced and conscientious candidate, the work environment is relaxed and informal.

The position pays between $60 and $70 per hour, depending on qualifications and experience. Additional compensation includes generous time off, health, dental and vision insurance, and potential participation in a retirement savings program. The position requires a commitment of 20 hours per week, including three afternoons a week on-site in our Oakland office combined with a flexible work arrangement for the remaining tasks and time (depending on COVID-19 guidelines). We seek to fill this position no later than July 17, 2020.

The Fiscal Administrator/Office Manager will perform the following and additional duties as assigned.Serve as the organization’s bookkeeper:

  1. Process and record accounts receivable (payments for invoiced services, grants, donations and other deposits) and payable (payroll, vendor bills, electronic payments, credit card expenses)
  2. Manage payroll administration 
  3. As needed, assist with staff expense reporting and reimbursements including travel and related expenses and record-keeping
  4. Support tax preparation
  5. Administer federal funding streams in keeping with relevant guidelines and regulations. 
  6. Manage record keeping, system backups, filing and data entry
  7. Compile financial and related documents and materials to support grant proposals
  8. Other related tasks as assigned


Create and maintain staff-friendly and efficient systems for:

  1. Invoicing. Actively maintain the regular and timely invoicing of clients
  2. Cost allocation. Develop and administer user-friendly cost allocation tools and processes for senior staff
  3. Budgeting. Work with senior staff on organizational and project budgeting 
  4. Contract administration. Prepare contracts and consulting agreements
  5. Plain language reporting. Prepare regular, timely “plain language” reports to senior staff on CPSC’s fiscal outlook such as the status of invoicing and revenues
  6. Audit preparation. Successfully prepare the organization for semi-annual audits.


Provide proactive administrative, logistical and operational support:

  1. Actively support staff as they work remotely, including providing calendar management, logistical support, office supplies and maintaining and updating computers and related technology tailored to individual staff needs and priorities
  2. Arrange for staff and contractor/partner travel, document relevant travel expenses
  3. Provide timely support for staff expense reporting and reimbursements
  4. Provide meeting support, including scheduling, preparation, coordinating attendance
  5. Other related tasks as assigned

 Provide general organizational and office support: 

  1. Maintain payment schedules, reminders
  2. Coordinate employee benefits, planning and calendaring, website development and maintenance, and computer and communication support and maintenance
  3. Track office supply stock and manage supplies 
  4. Maintain a simple record of Board meetings and actions  
  5. Handle mail and deliveries, assist with phone and reception service, generally maintain the order of the conference room and other shared spaces
  6. Other related tasks as assigned

 Qualifications:

  1. Knowledge of Generally Accepted Accounting Principles (GAAP) and current accounting rules and regulations as applied to nonprofits under a 501(c)3 exempt status required
  2. Documented, extensive experience in finance and accounting (4 to 5 years of directly relevant professional experience) required
  3. Experience and demonstrated skills in Quickbooks online required
  4. Documented experience and skills administering federal grant awards highly preferred
  5. Experience managing confidential information and maintaining high ethical standards required
  6. Strong written and oral communication skills highly preferred
  7. Ability to plan and prioritize workflow, handle multiple tasks simultaneously highly preferred
  8. Strong Microsoft Office Suite skills including Word, PPT, Outlook and Excel required
  9. Bachelor’s degree in accounting, finance or business-related field highly preferred
