This Executive Assistant’s role will be to support the Program Director for Industry (50%) and the Program Strategist for Food & Agriculture (50%) at ClimateWorks leading schedule coordination, arranging travel and meeting logistics, and preparing meeting materials.

Essential Tasks 

  • Maintain daily calendars and assist with complex scheduling, including managing correspondence between funders, partners and grantees.
  • Organize virtual and in-person meetings, including scheduling, preparing meeting material/agendas, recording notes, and follow up.
  • Coordinate and provide logistical support to program topical funder events, including facilitating meetings, pre and post event follow up, setting up videoconferencing, and catering when necessary
  • Organize and maintain internal databases to manage contacts, correspondence, mailing lists, and program events.
  • Ensure that the Program Director and Program Strategist are fully briefed and prepared for meetings, events, and trips by providing or obtaining background information for these commitments.
  • Review communications, presentations and documents for accuracy, completeness, format and grammar.
  • Work cross functionally with internal teams at ClimateWorks to support organization-wide priorities.
  • Perform accounting and bookkeeping records, including reconciling monthly expense reports.
  • Research and book domestic and international travel: flights, hotels, ground transportation, and any needed logistics. Provide travel package with background, briefings, maps, and bios as needed.
  • Perform research tasks under the supervision of the Program Director and Program Strategist, including compiling information and data about public policies and programs, managing bibliographies, and identifying experts on relevant subjects. 

Required Qualifications

  • Five plus years of relevant experience.
  • BS or BA degree preferred
  • Previous experience maintaining complex calendars and coordinating meetings/events.
  • Excellent verbal and written communication skills.
  • Attention to detail and strong organizational skills.
  • High degree of proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint), Google docs, Salesforce and teleconferencing (i.e. Zoom)
  • Research skills, including managing bibliographies, formatting datasets, and identifying relevant references.  
  • Ability to work effectively and efficiently with minimal supervision.
  • Ability to judge the relative importance of issues and act independently to address them, applying the appropriate level of urgency and drive to achieve results.
  • Ability to keep calm under pressure, prioritize and manage multiple and sometimes competing tasks, and multi-task.
  • Good interpersonal communications skills.
  • Ability to quickly and accurately analyze problems and identify appropriate solutions.
  • Ability to handle sensitive matters with discretion.
  • Tact, poise, professionalism, diplomacy, and a good sense of humor; the ability to work with a team and to interact with people from all walks of life.
