General Job Description

Portland Tennis & Education’s Development/Marketing Associate works directly with the Executive Director, Development Director, and Board of Directors. The key responsibility of the Development/ Marketing Associate is to help expand funding bases and awareness of PT&E to ensure that the targets of the organization are met.


Job Duties & Responsibilities

  • Fund Development 50%
  • Collaborate with Development Director in grant writing, grant reporting, grant exploration, and cultivation efforts: 10%
  • Assist with the planning and implementation of all fundraising events: 20%
  • Coordinate with Development Director and Marketing Committee to create and follow event calendars
  • Provide support with event venues and details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material (posters, brochures, event program), staff tasks, etc., as directed
  • Conduct post event evaluations, thank you notes, wrap-up, as directed  
  • Maintain and manage all donation relations and records: 20%
  • Develop and maintain key relations with past and potential funding organizations
  • Foster and maintain community and corporate partnerships to look for donations, funding, and volunteer opportunities with corporations
  • Assist with data entry of monetary donations, in-kind donations, grants, event purchases, and donor information updates
  • Send thank you notes and donation tax receipts in a timely manner.
  • Maintain records of communications with all donors 
  • Marketing 50%
  • Develop and implement social media calendar  that aligns and supports development calendar and PT&E programming; manage PT&E & SJRC social media accounts
  • Coordinate and manage all press and media to grow awareness of the organization
  • Explore new avenues and ideas to introduce more people to the PT&E story
  • Manage PT&E and SJRC websites to reflect up to date programming
  • Develop content such as posters, brochures, invitations and online graphics to promote programming and fundraising events
  • Create monthly newsletters for SJRC clients
  • Create quarterly newsletters highlighting the work of PT&E
  • Manage PT&E photo database and coordinate with staff to ensure photos are taken at every event
  • Coordinate with PT&E and SJRC Team, and Marketing Committee, to provide up to date and accurate information to donors and clients 
  • All other projects and duties as assigned by the Executive Director and Development Director 


Qualifications/Skills Required

  • Bachelor degree or equivalent experience
  • Maintain healthy communication and working relationships with the Executive Director, Developer Director, Community Partnerships Coordinator, Associate Director, Board of Directors, volunteers, staff, and donors
  • Excellent communication skills, both written and verbal, managerial skills, and organization
  • Should have knowledge of Google Drive and donor management software, or have an extreme willingness to learn these softwares
  • 2-3 years of Development and Marketing experience preferred
  • Experience developing and implementing annual giving, major gift, planned giving, grants, and public relations programs
  • Experience making effective presentations before groups
  • Strong record of meeting deadlines
  • High energy and self-motivated; enjoys fundraising and networking
  • Sense of humor and ability to work in a fast paced, entrepreneurial environment
  • Passion for children and education
  • Willingness to work evenings and weekends as needed
  • Experience in event planning, grant writing, and donor management is preferred
