Temple Beth Avodah, a Reform Jewish synagogue, is seeking a part time administrative assistant to support the work of the clergy, executive director, and staff as we create an engaged and connected community. This position includes administrative duties along with interactions with congregants and visitors daily. A friendly and supportive demeanor combined with an ability to be efficient and effective is essential in this role. This part time position is 20 hours per week. The ideal candidate is available Monday-Friday 9am-1pm; however, a 3 day schedule will be considered for qualified candidates.

Clergy Support:

  • Oversee the rabbi’s communications (calls, messages, emails, mail) including screening and prioritizing incoming information, answering, reviewing, and/or drafting correspondence, and initiating contact on the rabbi’s behalf as appropriate
  • Coordinate communication between the rabbi and existing and potential donors including setting up regular touch points and follow up opportunities
  • Assess priorities and manage the rabbi’s daily communications and tasks
  • Bring matters of importance to the rabbi’s attention and ensure follow up
  • Maintain the rabbi and cantorial soloist’s calendars including making appointments and directing appointments to other staff as appropriate
  • Assist with special projects and congregational needs requiring the rabbi or cantorial soloist’s attention
  • Ensure the rabbi and cantorial soloist receive proper administrative support including document preparation, organizational needs, and travel coordination

Life cycle support:

  • Manage life cycle event communication including making appointments and preparing materials
  • Coordinate materials for B’nai Mitzvah including kiddush cup and board gift
  • Assist with other general preparation for life cycle events as requested

Executive/Office Support:

  • Provide administrative support such as document preparation, contact lists, and communications
  • Assist with database management
  • Bring matters of important to the appropriate staff
  • Provide general office support including organizing supplies and ordering materials
  • Answer phones, door, and sort mail when present in the office

Qualifications and skills

  • Excellent written and verbal communication skills
  • Organizational and task management skills
  • Ability to maintain confidence of sensitive information
  • Proficiency with Microsoft Office including word, excel, outlook, and teams
  • Online and computer skills and ability to troubleshoot basic technical situations
  • Attention to detail
  • Familiarity with Reform Judaism and synagogue life is beneficial
