Position Overview

The Academic Scheduler and Registrar works closely with and reports to the Assistant Head of School to develop and refine systems to help manage the academic scheduling process, support academic departments and Admissions in placement processes, and provide academic advising to students and families. Gathers, tracks and maintains all student records, from admissions to graduation. Maintains Learning Management System (LMS) and Student Information System (SIS), as they relate to student data. As Registrar, oversees all student data and student data systems.

Scheduler Responsibilities

  • Oversees the creation and implementation of the school's schedule of classes
  • Manages the add/drop process
  • Works with SSS Team to implement specific scheduling requests and balance demographic makeup of class rosters
  • Acts as first point of communication for parent and student inquiries about scheduling and placement
  • Advises students around course selection and graduation requirements
  • Supports Department Chairs in determining course sectioning
  • Coordinates annual update and publication of Course Catalog
  • Evaluates and recommends improvement in the purpose, design, and implementation of the instructional program as well as other support programs related to the mission of the school.

Academic Systems Responsibilities

  • Builds and maintains academic systems in the school website’s LMS and SIS core, including:
  • data files (incoming families, scheduling, advising, College Counseling, AP testing, etc)
  • grading systems, transcripts and reports cards
  • academic and advising schedule
  • annual ‘roll-over’ of course/schedule/teacher information in website
  • academic settings data, including course catalog, GPA weight, credits, length, and sections for each course
  • Communicates academic systems timeline to various constituencies
  • Provides instruction and support to various constituencies, coordinating with ACT to ensure multiple resources for assistance
  • Provide support for student data collection and management, such as Student Experience Survey, Grade Comparison Dashboard, master list of student demographic data, reports on students’ academic standing, et al

Registrar Responsibilities

  • Maintains all legal and needed records for the student body, including annual mandatory medical/activity release forms and immunization records
  • Builds and verifies each student file, work with Admissions and College counseling to ensure continuity and accuracy of student data
  • Manages online directory of user information
  • Fulfills internal and external requests for transcripts
  • Collaborates with College Counseling around student grades/Transcripts/past records and outside transcripts

Additional Duties

  • Member of Academic, Communication and Technology (ACT) Team
  • Serve as backup support for faculty sub replacement for absent faculty as needed
  • Supports Academic Administration in annual events such as Back to School night
  • Assists Communications with Calendar and Web Changes for start of the year and helps to maintain the calendar and web pages throughout the year
  • Other duties as assigned

Qualifications

  • Hold a Bachelor’s degree or Equivalent Work Experience
  • Two (2) years experience as a scheduler, preferably in a high school or 3 yrs previous experience working with detailed information and data in a scheduling software
  • High level of attention to detail
  • Demonstrated technical aptitude with scheduling software, BlackBaud experience a plus
  • High level of proficiency in Excel and/or Google Sheets
  • Ability to work independently on long and short term projects and meet deadlines
  • Strong ability to collaborate and work on multiple teams
  • Experience in training and instructional support with students and adults
  • Ability to maintain confidentiality
  • Takes initiative and is self-directed
  • Strong organizational, as well as written and oral communication skills
  • Personal qualities of integrity, optimism, flexibility and humor
