Associate Finance Director

 

 

SUMMARY: Under the supervision of the Finance Director, the Associate Finance Director is a fulltime, exempt position. This position is responsible for ensuring that the End Domestic Abuse WI is a fiscally sound agency. With the Finance Director, this position is responsible for overseeing the agency’s day-to-day accounting and financial management functions including budgeting, financial planning, analysis, controls and grant reporting/compliance. This position is also responsible for monitoring select federal grant funds received and expended, including the National Clearinghouse on Abuse in Later Life (NCALL), a project of End Abuse. This position provides back-up leadership and supervision to the Finance team.


PRIMARY RESPONSIBILITIES:

 

1)    With Finance Director, Oversee and Manage Financial Management Functions: proactively help to manage, plan, and organize financial operations of the organization, including planning, analysis, budgeting, allocations, controls and grant reporting.

a)    With Finance Director, Executive Director and Finance Committee of the Board, develop financial goals and objectives for the organization.

b)   With Finance Director, prepare annual budget draft for review by Executive Director.

c)    Assist in developing, interpreting, coordinating and communicating organizational policies on finance, accounting, budgeting, insurance, financial/accounting systems, internal controls and auditing.

d)   Closely monitor revenues and expenditures and ensure that agency cash flow is adequate.

e)    Monthly and year-end financial reporting; monthly, and year-end closings. This includes balance sheet, income and expense statements, and general ledger activity.

f)     Conduct analysis on the accuracy of the agency’s accounting information.

g)    Prepare and/or assist in preparation of information for annual audit and work with auditors throughout audit process.

 

Co-Develop and Manage Agency’s Annual Operating Budget and Federal Grant Budgets:

a)    In the context of overall operating budget, develop agency program and department budgets, with focus on federally-funded programs.

b)    Create budgets for federal grant proposals as requested by Finance Director and, for NCALL federal grants, as requested by NCALL Director and Finance Director.

c)    Assist with grant adjustments as necessary.

d)    Monitor agency and grant budgets; make recommendations to Finance Director for budget revisions as needed. Work with NCALL Director on NCALL budget revisions.


Develop and Maintain Systems to Ensure Compliance with Federal Funding Requirements:

a)    Prepare and submit reports on a timely basis to funders.

b)    Monitor all federal grant funds received and expended, and ensure that funds are used for intended purposes and that the budget is not exceeded.

c)    Review budgets and invoices from contractors, and ensure compliance with funding requirements.

d)    Maintain effective relationships with funding agencies.


Leadership and Coaching:

As a representative of management, support End Abuse’s mission, vision, capacity building and strategic goals with the designated employees supervised by this position.  

a)    May provide supervision and leadership for key members of Finance and Administration team; provides backup when Finance Director is unavailable;

b)    With the Finance Director, and for designated employee positions, manage the employee hiring process; develop or update job descriptions; develop performance expectations, identify essential functions and knowledge, skills and abilities required; form selection committees, and processes for interview and selection of employees;

c)    Manage and ensure effective employee relations; create an ethical, non-discriminatory and safe work environment; establish effective communication lines/methods; identify and solve employee problems; manage conflict, respond to grievances when relevant and appropriate.


Qualifications:


•      Certified Public Accountant or equivalent professional accounting experience.

•      3+ years of experience in finance, accounting or budget management.

•      1+ years of experience in a leadership or managerial role.

•      High degree of professionalism and adherence to confidentiality standards.

•      Self-motivated, strong initiative and a quick learner.

•      Detail-oriented with the ability to proofread documents and emails carefully.

•      Ability to work on a deadline and produce high quality, accurate results.

•      Comfortable working independently and on a team.

•      Excellent communication skills, both written and verbal.

•      Ability to remain flexible and adaptable.

•      Excellent organizational skills, ability to manage concurrent projects.

•      Advanced proficiency in Microsoft Excel.

•      Proficient in Microsoft Outlook and Word and other programs included in the Microsoft Office Suite.

•      Data entry and data management software experience
