Office and Program Assistant

The Charles H. Revson Foundation is an independent, nonprofit grantmaking organization founded in 1956 with a commitment to “the spread of knowledge” and “the improvement of human life,” making grants in the areas of urban affairs, education, Jewish life, and biomedical research.

The Office and Program Assistant handles the Foundation’s day-to-day operations and logistics, assists the president, and contributes to program work.


Support the work of the president and Chief Financial & Administrative Officer:

·        Handle all logistics for meetings and travel

·        Track the President’s schedule and update on Outlook, as needed

·        Act as liaison to the Board of Directors

·        Compile monthly expense reports

·        Answer phone, screen calls, process mail

·        Other support tasks as needed

Office management:

·        Maintain supplies inventory

·        Greet guests and set up for meetings

·        Prepare materials and handle logistics for board meetings

·        Track staff attendance and update attendance sheets monthly

·        Manage vendor relations and contracts

·        Work with building staff

·        Other office-management and operations tasks as needed

Information technology:

·        Perform routine computer maintenance and troubleshooting

·        Work with tech consultants to resolve more complex IT issues

·        Update the Foundation’s website content using WordPress

Program work:

·        Compose several short grant recommendation summaries throughout the year

·        Discuss project details with some grantees

·        Contribute to special projects/special events


·        Actively seek out, develop, and implement efficiency improvements

·        Keep procedures manuals up to date

·        Provide backup support to Grants and Accounting Associate

·        Collaborate with other staff as needed

·        Opportunities for additional program work will depend on needs, ability, interest, and availability


·        1-2 years applicable experience preferred

·        Bachelor’s degree required

·        Proficiency with computers and Excel a must

·        Experience with WordPress, Acrobat, databases a plus

·        Must have excellent interpersonal, verbal, and formal writing skills

·        Interest in philanthropy, nonprofits, and the Foundation’s program areas

·        High attention to detail

·        Must be well organized and able to juggle a constant variety of tasks, projects, and deadlines

·        Must be motivated, reliable, and punctual

·        Must work well individually and with minimal oversight, as well as collaboratively

·        Must be an eager learner and a quick study

·        Must take initiative but also be able to follow detailed instructions on certain assignments

·        Must be comfortable asking questions, receiving feedback, and offering ideas/suggestions
