The Position:

We are seeking a Team Coordinator. The successful candidate will ensure that our team is operating at the highest level, through enabling information sharing, smooth workflow and follow through. The ideal candidate thrives in fast-paced environments, enjoys optimizing systems and being a member of a team. S/he should be a detail oriented, well-organized self-starter with superior time management skills and able to act without guidance when necessary. 

This role is integral to contributing to the efficiency of our team by providing providing support that is anticipatory, timely and organized.

Essential Duties and Responsibilities:

●Provide day-to-day support to a high-level member of Bloomberg Philanthropies

●Assist with major team projects as needed - demonstrating the ability to respond to priorities and resourcing needs as they shift over the lifecycle of our program

●Manage calendar(s) as needed, including scheduling appointments, arranging meetings, anticipating needs and changing/rearranging meetings as appropriate and ensuring that any needed administrative and technological resources are available

●Manage and maintain Principal’s expense reports

●Coordinate travel arrangements, including flights, ground transportation, hotels, etc.

●Track and ensure follow-up from meetings and events

●Draft email correspondence, memos, presentations and recaps from meetings

●Maintain data and project updates for internal check-ins and coordination with other Bloomberg teams

●Ensure team projects are on schedule and deadlines are met

●Field inquiries to appropriate team members and ensure timely response to urgent issues

Required Qualifications:

●1-3 years of experience as an executive assistant or coordinator in a fast-paced environment

●Exceptional organizational and project management skills, with the ability to juggle multiple priorities simultaneously

●Be a dynamic team player who is able to maintain a sense of humor

●Be able to effectively receive and apply feedback

●Excellent written and verbal skills

●Discretion and confidentiality

●Willingness to work with a growing team in a fast-paced, campaign-like environment (This means that sometimes there will be unpredictable hours or there will be instances where the team need to work outside of the traditional Monday through Friday, 9am to 5pm structure)

●An interest in working effectively across various platforms (Google, Microsoft, etc.)
