General Description:

The Executive Assistant & Special Projects Coordinator is responsible for providing administrative and logistical support to the Executive Director, performing Executive Office administrative functions, coordinating Board meeting logistics, and coordinating special projects for the Executive Director and Department Directors, as assigned.

Specific Responsibilities:

Executive Office

• Manages the Executive Director’s schedule and meeting logistics, ensuring the Executive Director has all relevant information and materials for each meeting.

• Maintains calendar and contacts for Executive Director and Board of Directors and facilitates communication in a timely manner.

• Screens incoming telephone calls and email for the Executive Director as requested.

• Coordinates special projects for the Executive Director and Department Directors as assigned.

• Assists the Executive Director with confidential information essential to PFLAG’s labor relations policies and Board-related matters.

• Process incoming mail; processes and records all incoming checks.

• Responsible for monitoring and ordering of office supplies.

• Manages the info@pflag.org inbox; responds or reroutes to appropriate staff.

Governance

• Manages logistics for Board and Regional Director meetings, including site selection and catering.

• Directs and oversees governance-related records management and archiving of materials.

• Oversees the preparation of Board and Regional Director meeting materials.

• Works closely with Board Leadership, Executive Director and Department Directors to compile data for Board meeting reports.

• Drafts and maintains the Board of Directors and Regional Directors meeting minutes.

• Works with the Executive Director to ensure that Board meeting follow-up items are tracked and completed in a timely manner.

• Maintains the roster of current and former Board members, Regional Directors, committee membership, and PFLAG listservs.

• Maintains files of all Board correspondence and official documents.

• Schedules all board committee meetings and other meetings as requested.

Qualifications:

1. Minimum of three or more years related professional experience. BS/BA or equivalent experience.

2. High level of interpersonal skills required to handle sensitive and confidential situations.

3. Knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software. Microsoft Word, Excel, PowerPoint, G Suite, and Salesforce experience preferred.

4. Demonstrated poise, tact and diplomacy.

5. Ability to interact and communicate with individuals at all levels of the organization.

6. Ability to take direction from Executive Director and their designees, including Department Directors.

7. Ability to work independently and within a team on various projects, including acting as project coordinator for special projects at the request of the Executive Director.

8. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands. Work requires continual attention to detail in composing, typing, and proofing materials, as well as establishing priorities and meeting deadlines.

9. Knowledge of general office management, administrative and supervisory principles, procedures, and methods.

10. Proficient with all social media platforms.

11. Commitment to the vision and mission of PFLAG.

Special Requirements:

Must be willing to work evenings and weekends for special meetings, including occasional travel, such as Board of Directors meetings, special events or as requested by the Executive Director.

Salary :

Salary range is $55,000-65,000 commensurate with education and experience.
