SUMMARY: The Development Coordinator supports the fundraising activities of the organization. Key responsibilities include donor database management, gifts analysis, mailing list management, supervision of fundraising volunteers, support of fundraising events, and stewardship of community donors.


Database Management

  •  Oversee and maintain Raiser’s Edge donor database to ensure data integrity
  •  Maintain and regularly update the Procedures Manual for Raiser’s Edge and cross-train necessary staff on database procedures.
  • Maintain updates on software and functions of our database system
  • Oversee and generate donor mailing lists for direct mail and leadership circle fundraising appeals, newsletters, events, etc.
  • Oversee and create donor and gift analysis reports using Raiser’s Edge, including reports regarding annual fund, capital, endowment, multi-year gifts.
  • Ensure that multi-year pledges, matching gifts, and their subsequent payments, when received, are accurately posted, acknowledged and reported.
  • Oversee and assist with data entry of routine daily gifts and demographic data changes for gift processing, donor acknowledgement, and database management.
  • Produce monthly revenue tracking reports and work with finance department to reconcile revenue
  • Serve as a key contact with finance department, including requests regarding annual audits
  • Track and manage all adjustment records


Donor Management and Events

  •  Provide support and assistance for annual fundraising and cultivation events. 
  • Effectively manage and train volunteers on event day. 
  • Track and report event income and expenses.
  • Produce thank you letters for event donors accurately, including the fair market value of their event donations.


  • Monitor, the development e-mail account.
  • Coordinate projects assigned by the Director of Development & Development and Events Manager. Delegate work to Development Assistant and development volunteers as appropriate.
  • Coordinate and oversee administrative volunteer projects, including mailings, database assistance and other clerical support.
  • Maintain vendor relationships, including printer, mail house, and database.
  • Thank and steward community donors in a timely and appropriate manner.
  •  Conduct accurate prospect research on current and prospective donors.
  • Provide additional support as needed and assigned for the agency’s fundraising activities.
  • Other duties as assigned by the Director of Development or Developments and Events Manager.


  • Passion for fund raising and the mission of Union Station Homeless Services required.
  • Good judgment and decision-making capability.
  • Demonstrated ability to analyze complex data and provide detailed and accurate reports.
  • Excellent written and oral communication skills.
  • Outstanding computer skills. Must be proficient with relational databases, MS Office programs (Word, Excel, Outlook), and publishing software. Must be proficient with mail merges and pivot tables.
  • Must be a reliable and conscientious self-starter, with excellent attention to detail and ability to coordinate multiple projects and deadlines with minimum supervision.
  • Passion for fund raising and the mission of Union Station Homeless Services required.
  • Bachelor’s degree required.
  • Minimum of five year of experience providing administrative support.
  • Minimum of two years of relevant experience.
  • Database management experience required, including a minimum of two years of experience working with Raiser’s Edge.
  • Previous development or non-profit experience required.
