About Home Share Oregon: 

Home Share Oregon is a nonprofit agency specializing in creative, affordable housing solutions throughout the state of Oregon. Founded in 2020, Home Share Oregon is the only state-wide organization in Oregon designed to increase access to affordable housing by utilizing current, underutilized housing inventory. Home Share Oregon matches homeowners who have a spare bedroom available, to renters who are looking for an affordable place to live.

Our Team: 

Our team includes an Executive Director and a governing board of 8 Directors recruited with an emphasis on diversity of skills and interests to assist in advancing the Home Share housing mission. Home Share has been reported on in the Oregonian, Portland Tribune, KOIN and KATU news. 

Position Profile: 

We are seeking a passionate and professional Executive Assistant to coordinate a variety of key functions in the office and to protect our Executive Director’s time by facilitating their work. Qualified applicants for this position will have skills in office management, data bases, reception, time management, and will possess strong written and verbal communication skills. 

Our Executive Assistant will work closely with our Executive Director and also the entire Home Share Oregon staff and board. The right candidate will be highly organized, adept in the smooth functioning of office operations, and be a natural communicator with people from all walks of life. This position may require some weekend and evening meetings.

Duties and Responsibilities: 

Assisting the Executive Director 

  • Conserve the executive’s time by reading and routing correspondence, as well as crafting letters, emails, and other documentation.
  • Be a gatekeeper to the executive, keeping them focused by taking in requests, performing triage, and using judgment skills to effectively use executive’s time.
  • Maintain the executive’s calendar and appointments, coordinate travel, and facilitate meetings.
  • Brief the executive on daily events, action items, and important peoples.
  • Represent the executive with staff and others when needed. 

Office Management and Administration 

  • Receive Home Share clients and the general public with warmth and professionalism, answering calls, returning messages, and directing inquiries.
  • Prepare reports and meeting agendas for our Board and major contributors.
  • Keep meeting minutes and detailed notes.
  • Conduct regular data entry to make sure nothing is ever lost.
  • Manage a fully functioning office for our quickly growing non-profit, including office technology, services, utilities, and support for the entire staff.
  • Maintain office supplies and provide staff with the resources they need to succeed.
  • Be an integral part of our staff team, accomplishing a variety of tasks as needed and identified by the executive.

Preferred qualifications:

  • Bachelor's Degree from an accredited institution or equivalent preferred, but not required.
  • Experience with Office 365 and Salesforce preferred, but not required.
  • 1-3 years experience in office management and/or executive assistance.
  • Proficient in MS Word, Excel, Powerpoint, and Outlook.
  • Ability to take direction and feedback in a fast-paced work environment. 
  • Clear, friendly, and professional communication style. 
  • Excellent writing skills. 
  • Willingness to work occasional weekends and/or evenings. 
  • Must have cell phone, computer, and vehicle with insurance. 
  • Must be able to lift 30-35 pounds.

Salary and Benefits:

  • Full-time, exempt position. 
  • Salary $55,000 per year. 
  • Benefits package including PTO, medical, dental, vision, and retirement.
