Job Summary:

The Program Operations Manager maintains and sustains our culture of learning that includes data collection, assessment, reflection, and revision. Central to this role is ensuring that systems and communication are smoothly transferring information to applicants, students, and staff. The person in this role also collaborates with YouthBuild staff to strengthen our internal processes and builds external partnerships that help us draw the widest possible pool of applicants to our program. The Program Operations Manager engages with all aspects of our organization and brings together many different stakeholders to plan, discuss,  implement, celebrate and respond to the important and challenging work we do every day.

Responsibilities and Duties:


Managing Internal Student and Alumni Data

  • Collecting Student and Alumni Data
  • Oversee primary data collection along with Program Outcomes and Evaluation Manager
  • Conduct data standard audits to ensure accurate information is being collected
  • Collaborate with all departments at YouthBuild in order to
  • Design, implement, and analyze qualitatively-focused evaluations including surveys, focus groups, and interviews
  • Create Dashboards to support departmental and school-wide conversations about short term and long term outcomes
  • Provide ongoing training and support for staff who are inputting data regularly
  • Identify opportunities to improve current systems and processes for tracking and  collecting data
  • Manage Alumni Records requests from graduates

  • Using Student and Alumni Data
  • Support students and staff to access internal database
  • Create visual aids and differentiated reports to help students and staff better understand and use data
  • Conduct literature review and background research to add context to our program development
  • Act a liaison and collaborator with
  • Directors to ensure teams are using a system of data collection, assessment, reflection, and revision
  • Professional Development committee to plan time and space for technical training related to data use
  • Board Program Committee to prioritize school and information needs


Managing Key Program Components

  • Communication
  • Develop and maintain communication strategies between program, staff, and students
  • Create and send weekly staff newsletter
  • Work with Communications and Development Associate to maintain student-focused social media accounts

  • Student Recruitment
  • Coordinate annual recruitment process, including—
  • Planning outreach- community events, social media. etc
  • Scheduling Re-engagement Facilitation Session (RFS) for new applicants
  • Organizing dissemination of required forms to applicants
  • Scheduling and staffing applicant one-on-one intake meetings.
  • Coordinating ongoing engagement of applicants prior to Mental Toughness Training (MTT)


Supervision

  • Supervise one direct report – Recruitment VISTA
  • Set goals for performance and deadlines in ways that comply with school’s plans and vision and communicate them
  • Support work plans and ensure that VISTA understands their duties or delegated tasks
  • Monitor productivity and provide constructive feedback and coaching
  • work with Americorps Grant Coordinator to maintain compliance with YouthBuild USA grant regulations

Program Involvement

  • Participate in organization-wide coaching program as coach for three to five students
  • Participate in community-service projects as part of service ethic of the organization
  • Participate in community building events in order to build authentic relationships with students, alumni, and staff


Qualifications:

  • Education: Bachelor’s degree
  • 3-5 years of previous experience in a similar role or industry
  • Experience collecting and analyzing data
  • Experience in a non-profit / charter school
  • Strong communication skills, especially written, and ability to present to large groups
  • Strong organizational skills and detail-oriented project completion skills
  • Recruitment experience preferred

  • FBI - Criminal History Report
  • PATCH - Pennsylvania Police Department - Criminal Background Check (and/or applicable based on State of residency)
  • PA Child Abuse History Clearance
  • TB Test Results
  • Act 24 - Arrest Conviction Form
  • NSOPW - National Sex Offender Clearance
