The Taube Foundation for Jewish Life & Culture, a supporting foundation of the Jewish Family and Children’s Services of San Francisco, seeks applicants for a full-time Office Manager. The Office Manager is a critical part of a small team in the East Bay that carries on the work of the Foundation.

 

SKILLS/REQUIREMENTS:

4-year college degree or higher

Superior communication and organizational skills in person, online, by phone, and in writing

Flexible team player, high energy, disciplined, focused

Excellent proofreading and copy-editing capabilities

 

SPECIFIC PROFICIENCIES (Macintosh-based office)

Microsoft Office Suite (Word, Excel. PowerPoint)

Adobe Reader or Acrobat

Google calendar

Social media, including website, Facebook, Twitter, Mailchimp, Paperless Post, YouTube

Zoom scheduling, administering, recording

Salesforce database management system (if unfamiliar, training will be provided)

 

DUTIES & RESPONSIBILITIES:

Administrative

  • Office supplies order/reorder
  • Professional communications with staff, affiliated foundations, donors, grantees, outside vendors, friends of the Foundation, potential donors, and grantees, as directed by Executive Director and Director of Grants.
  • Organize and archive digital and paper materials, as needed, from publications, ads, events, websites, grantees
  • Check submitted invoices for approval as needed
  • Update and maintain Salesforce database of contacts, in conjunction with Director of Grants
  • Administrative support to Executive Director and Director of Grants

Grants and Foundations

  • Prepare supplemental information sheets and grants materials
  • Online nonprofit and foundation research
  • Assist in distribution of letters and materials for donor prospects

Production and Publicity

  • Assist in copy development for memos, announcements, flyers, brochures, programs, reports, newsletters, books, articles, op-eds, advertisements, publicity pieces, etc.
  • Work with production team to choose appropriate photos and/or illustrations as supervised: search Taube digital holdings and online photo sources as needed

Event Coordination

  • Assist in producing digital and or paper announcements and invitations as needed
  • Coordinate with Executive Director re venue reservations, catering, photographer, videographer, flowers, media, etc.
  • Help produce invitation lists with email and postal addresses; send invitations as needed; receive RSVPs and keep accurate list and number of guests
  • Attend events and serve as greeter as needed
  • Arrange audio or video recordings of events as needed; arrange for written transcriptions as needed

Meetings/Board and Advisory Board Meetings

  • Attend meetings as needed and follow up with notes/minutes as requested
  • Coordinate annual Advisory Board meeting
