The Database Coordinator and Finance Assistant is responsible for overseeing NOFA-VT’s donor, member and contact information systems as well as providing support to the Finance Director with projects such as payroll and grants financial management. The Database Coordinator and Finance Assistant reports primarily to the Development & Engagement Director and works closely with the Finance Director. The position is roughly 25 hours per week in database & membership coordination and 15 hours a week in finance administration support.

Summary Description:

The Database Coordinator and Finance Assistant is responsible for managing all donor/member/contact information systems (via NEON) for NOFA-VT. This includes reporting and analysis of data, gift processing and acknowledgments, as well as managing data import and data entry, reporting, data quality and improvement initiatives, and other related activities. The Database Coordinator and Finance Assistant will be the lead contact for data analytics, working with key staff and stakeholders across NOFA-VT to understand data needs and develop actionable insights. This position also works as a team with the Finance Director and assists in a variety of financial tasks.


Specific responsibilities of the position include, but are not limited to:

● Manage all aspects of NEON database including data entry, data integrity, updates and corrections. Strategize and manage implementation of the database, determining the best use of NEON’s features to accomplish the goals of NOFA-VT.

● Manage processing and tracking of all gifts via mail, credit card, online, and stock transfer. Produce acknowledgement letters/tax receipts. Send membership renewals and lapsed member notifications. Create monthly reports for credit card donations for the Finance Director as well as monthly overviews of donation/member activity..

● Develop reports, including monthly and quarterly reports on fundraising and members. Produces reports and lists as needed for mailings, appeals, and events.

● Understand the organization’s database needs, and strategically develop actionable plans and provide expertise to increase the efficacy and efficiency of our use of our data management systems including collaborating with our Communications team to research and potentially integrate NEON with Mailchimp, segmenting our contacts, supporting our Events Coordinator troubleshoot issues with events registration, and setting up online store items as necessary.

● Provide financial assistance including general bookkeeping (A/P, A/R, invoicing), processing payroll, benefits administration, audit preparation, grants management, and being cross trained in numerous accounting and reporting functions in order to review work for accuracy and provide backup duties as needed.

● Occasionally work evenings or weekend special events which may require travel and other duties as assigned.

Qualifications

The Database Coordinator and Finance Assistant possesses expertise in database coordination (NEON preferable but not required) and nonprofit accounting. Must have strong written and oral communications skills, a creative, energetic attitude, high attention to detail with strong analytical and organizational skills, and the ability to balance many projects. Advanced experience with Quickbooks and Google Suite and/or Microsoft Office Suite is necessary, especially Excel/Sheets. The position will be a hybrid position with some days working from home and some days working from NOFA-VT's office in Richmond.

Salary

40 hours per week, salaried, exempt. This is a coordinator level position, falling into NOFA-VT’s program staff pay band of $20.26 - $26.34/hour.
