About Chicago Children’s Choir

For 65 years, Chicago Children’s Choir (CCC) has worked to inspire, unite and change the lives of youth through music. What began as a small choir on the South side of Chicago born in the midst of the Civil Rights Movement to foster racial understanding has since grown into a nonprofit with an international footprint that is Chicago’s premier arts education and performing organization. CCC serves every corner of Chicago through a vast network of school and after-school programs whose singers bridge cultural and economic divides to become ambassadors for peace.

In a traditional year, CCC provides transformative programs through partnerships with over 90 schools, 12 community-based after-school music programs, Dimension, an ensemble for singers with changing or changed voices, and the world-renowned Voice of Chicago. As a national and international touring ensemble, CCC has performed for dignitaries such as former President Barack Obama, Nelson Mandela and former Chinese President Hu Jintao and with artists such as Chance the Rapper, Yo-Yo Ma, Andrea Bocelli, Beyoncé and Celine Dion.

CCC is a civic treasure and model for urban music education with more than 75% of youth able to access its programming free of charge.

Position Description

The Operations Associate ensures efficient and smooth operations of the Choir - from office management to technology, hospitality and relationship building. This person plays a significant role in procurement, financial reconciliation, program support and internal communications. They often serve as first contact with the public, whether by phone, email or in-person interaction. This position reports to the Choir’s Executive Vice President, and works closely with all staff.

Responsibilities include, but are not limited to, the following:

Administrative

  • Answer phones, e-mails, and distribute office mail; maintain staff rosters and directories.
  • Be a party planner! Coordinate all organizational meetings including staff and board meetings, as well as celebrations for birthdays, work anniversaries and other milestones
  • Order and maintain supply inventory, whether for administrative or program operations
  • Employ cost savings strategies and work to diversify vendors engaged with the Choir
  • Coordinate storage needs
  • Manage relationship with IT consultant, assist staff with all technology-related matters including hardware purchases and software licensing.
  • Maintain and manage purchase of all office equipment including leased equipment and maintenance agreements.
  • Serve as liaison to the Chicago Cultural Center/City of Chicago Department of Cultural Affairs and Special Events in reserving and setting up rooms.
  • Serve as administrative support to the President and Executive Vice President, including meeting requests and travel reservations as needed.

Finance Support

  • Make bank deposits
  • Manage choir-provided parking for staff
  • Reconcile monthly credit card statements and collect all associated documentation.
  • Create and maintain budgets for relevant operation accounts
  • Work with Vice President, Finance toward collecting receivables

Program Support

  • Assist with Choir events, programs and concerts as needed (ticket sales, set-up, merchandise, chaperone).
  • Prepare items necessary for front of house operations at self-produced concerts
  • Serve as Program Assistant for after-school programs as needed

Marketing and Development Support

  • Work with Development staff on research and prospecting
  • Monitor social media accounts and engage with online audiences
  • Source photo and video content as needed

Qualifications

Ideal candidates will possess the following skills and attributes:

  • A bachelor’s degree in a relevant discipline preferred plus 2-3 years professional experience (internships count!)
  • A passion for the arts and the mission of the Chicago Children’s Choir
  • Direct experience and comfort with Google Suite (Gmail, Gcal, Docs, Sheets, Slides). Experience with Salesforce a plus and the ability and willingness to learn new systems a must.
  • Superior interpersonal and communication skills
  • Detail-oriented and highly organized.
  • Proficient at multitasking and comfortable working in a fast-paced environment.
  • Show commitment to being a team player.
  • Flexibility to work after regular office hours for concerts and events
  • Spanish speaking a plus
