Loveland's Community Kitchen is a 501(c) 3 organization in Loveland, Colorado that provides prepared meals 7 days per week to those in need of a nutritious meal. We do not ask any questions of our patrons...if someone comes to the Community Kitchen, they are eligible to dine with us.

In 2016, we celebrated 20 years providing a hot meal to anyone in need, regardless of ability to pay. However, the Community Kitchen provides more than a meal. Our mission is "Food for those who are hungry, Conversation for those who are lonely, Rest for those who are weary". 

Our program is run almost entirely by volunteers. We rely on over 350 generous volunteers to serve meals to our patrons. Through our collaboration with Meals on Wheels of Loveland and Berthoud, we are able to further maximize donations. From sharing a building, to purchasing meals at cost, this collaboration allows us to keep overhead costs low, and provide meals that are prepared by an experienced culinary staff and overseen by a registered dietitian.

The Administrative Services Professional will play an important role in our organization, independently performing a variety of advanced administrative duties and managing special projects for the Executive Director. This position will often be the first point of contact with donors and stakeholders, and is expected to positively represent the Community Kitchen. This position will also provide inventory management including distribution to other service agencies as needed, and maintain a level of organization of workspace and record keeping to ensure a high level of service and efficiency for the Kitchen’s clients.

Position Status: 40-hour full time

Hours will be generally Monday-Friday during the hours of 8:30 am – 5 pm, with occasionally night and weekend hours during outreach events, volunteer trainings and agency events. Reports To: Executive Director

Hiring Salary: $15.00 - $16.50 Depending on Experience and Qualifications Benefits: Health insurance

Essential Functions:

  • Providing personalized administrative support in a well-organized and timely manner including a variety of tasks related to bookkeeping, donor management and inventory management.
  • Effective organization, and communication with donors (such as letters of intent, thank you letters, etc.) 
  • Reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information and initiating telecommunications
  • Maintaining confidence and protecting operations by keeping information confidential
  • Preparing reports as needed by collecting and analyzing information and producing information/reports, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
  • Assist in event planning and fundraising or recognition events
  • Inventory management including coordination with Program Assistant related to supplies and meal/food bag supplies,
  • Monitoring programs/services including data and trends of services such as meals and food bags
  • Development and administration of volunteer and donor database program
  • Responsible for updating and maintaining effective and informative website
  • Maintains appropriate tracking for accounts payable and receivables
  • Orientation and training of volunteers, including health department requirements and training
  • Responsible for applicable record keeping and retention requirements for compliance purposes
  • Contributing to the team effort by accomplishing related results as needed

Qualifications & Experience:

Passion to serve community and unwavering commitment to quality programs required.

  • Three years administrative experience preferred
  • Demonstrated ability of excellence in time and project management skills, creative problem solving, flexibility, and technical skills (must be comfortable and familiar with platforms such as MSOffice and Zoom.)
  • Data entry skills: QuickBooks experience is preferred, but not required if candidate is able to learn new software applications.
  • Perseverance and patience to help the Kitchen organized and efficient
  • Ability to multitask and prioritize daily workload
  • Exemplary planning and time management skills
  • Strong communication skills, both verbal and written. Must be detail-oriented regarding written communication, especially (eg: using spell-check software, grammar/punctuation checks, etc.)
  • Ability to establish and maintain effective working relationships with various internal and external stakeholders.
  • Candidates must present themselves professionally, and understand the importance of how they are representing Operation Equine in written and verbal communication.
  • Demonstrated ability to maintain confidential information
  • Specific experience with volunteering and/or in providing training to others is preferred
  • Speaking /writing Spanish are helpful, but not necessary

Working Conditions and Physical Demands:

Work is performed in an office environment which requires sitting for extended periods of time, reaching, repetitive keyboard motion, occasional prolonged standing, frequent use of telephone, and communicating with volunteers, clients and donors. Requires repetitive motions tasks, bending, pushing, pulling, reaching, and light lifting to perform the essential functions of the job. Requires the ability to handle multiple concurrent tasks and constant interruptions. Must be able to occasionally leave the area for meetings and delivery/pick-up of items for inventory. Must be able to work well in tense and/or busy situations. Must be available for occasional participation in evening and weekend meetings. Typically requires stooping, crouching, reaching, lifting and moving and/or positioning objects up to 15 pounds.
