    Description

    The Administrative Associate will provide superior front of house office and administrative support to all families, visitors, staff, and students. The hours for this position are from 8:00 am to 4:00 pm, Monday through Friday.

    Specific responsibilities include but not limited to :

    Record Keeping and Supplies:

    • Maintaining and tracking student attendance records; monitor student late arrivals
    • Updating student information and maintaining annual student forms in SchoolDocs
    • Tracking supply inventory (including copy paper, , teaching and all school and after school materials) and ordering supplies in a timely and cost effective manner

    Transportation and Trips:

    • Facilitate all Yellow Bus transportation for school and families (including ordering and distributing student transportation cards and overseeing daily student arrival and dismissal)
    • Assist with field trips and special event scheduling and preparations including booking buses

    Technical Support:

    • Oversee coordination of technical support operations such as internet, phone, copy machine and printing systems
    • Maintain inventory of school computers

    Communication:

    • Monitor office emails for late/absent students
    • Update weekly and monthly calendars and send to families
    • Answer the school's main phone line, directing calls, taking messages
    • Greet/Receive visitors to the building
    • Facilitate all Yellow Bus communication for school and families

    Main Office:

    • General main office organization
    • Sort/deliver packages received, opening when appropriate
    • Assist visitors on school campus
    • Accept, screen, and route telephone calls
    • Other additional tasks assigned by the school directors to ensure operational efficiency

    Skills and Community Membership:

    • Work with the Head of School, Division Directors and other staff members to uphold the mission and values of Greene Hill School
    • Ability to maintain strict confidentiality and the highest level of professional integrity
    • Ability to multitask and remain accurate and organized
    • Strong oral and written communication skills
    • Familiarity with Google platform
    • Ability to organize work independently and set priorities to meet changing deadlines
    • Ability to establish and maintain effective working relationships with families and staff
    • Possess an open and collaborative style characteristic of a team player
