iMentor is seeking an experienced Associate Director of Grants Management (ADGM) to oversee the creation and implementation of a centralized grants management infrastructure. The ADGM will be responsible for generating reports for a small portfolio of lead institutional investors, while also developing, managing and improving internal systems for the tracking of grant deliverables, compliance information, data collection and grant budgets across our 4 regional sites and National office. Reporting to the Managing Director of Institutional Giving (MDIG), the ADGM is a member of iMentor’s National Development Team (NDT). 

iMentor is currently in the third year of a five-year strategic plan. As part of our continued evolution, iMentor seeks to create a dedicated, national capacity to support regional fundraising efforts, ultimately allowing iMentor to build a diverse and sustainable funding base. As part of this vision, the NDT will structure a new, centralized grants management support model that will allow us to create greater efficiencies across national and regional development functions, maximize opportunities for org-wide revenue generation and build towards financially sustainable models. 

As the grants management lead for the national team, this position will partner with regional development departments to develop and manage internal systems for the tracking of grant deliverables, data collection and budgets. This position will also be responsible for monitoring the department’s progress in meeting its goals and deliverables, and developing fundraising materials to convey progress and accountability to key stakeholders. This position will oversee all aspects of grants and contracts management, including compliance monitoring and financial reporting, the coordination of data collection, analysis, evaluation, and program audits.

The ideal candidate will have experience in grant reporting and creating and managing complex internal collaboration systems. They will be an exceptional writer and analyst who can translate iMentor’s work and impact data into compelling talking points, report content and collateral. They will be excited to collaborate with team members across the organization to procure and elevate information and data for grant proposals and reports, and to design and implement strategies and systems to support efficient, high quality development operations. They will possess a passion for relationship-building, a keen eye for detail and project management, and proven effective persistence. They also have demonstrated success working closely with foundation officers on grant reporting and stewardship.


Grant Reporting and Writing (~40%)

·      Write exceptional grant reports, internal briefing documents and memos, and other donor materials, that effectively and succinctly capture iMentor’s impact

·      Create standard and customized grant report and compliance templates for national and regional foundation portfolios, capturing national programmatic impact as well as local nuances of iMentor’s regions.

·      Lead the National Development Team reporting process against strategic growth milestones/initiatives, and annual program design and implementation targets.

·      Partner with teams to package iMentor strategic plan outcomes, and short- and long-term student and mentor outcomes for external audiences.

·      Help identify, track and package pair stories and other stories of impact.

Systems building/process improvement (~40%)

·      Build, improve and manage the requisite systems and infrastructure for efficient and high-quality compliance and grants management across national and regional portfolios. This includes supporting systems improvements and processes (e.g. Salesforce, Tableau dashboards, etc.) to better manage and track grants, corporate partnerships, and more accurately monitor iMentor’s annual schedule of deliverables.

·      Manage internal calendar and schedule to ensure deliverables and reports are submitted on time, and work across iMentor departments to ensure grant requirements are met in a timely and coordinated fashion.

·      Ensure integrity of awards and grants record keeping systems.

Cross functional and internal team management and collaboration (~20%)

·      Build relationships with key departments and regions across iMentor to aggregate, package and present data and information that best positions iMentor with our foundation partners.

·      Partner with internal teams to set grant targets, and provide cross-team accountability and project management for restricted programmatic grants.

·      Partner with development team members to ensure that we are executing on a comprehensive touchpoint strategy throughout the year for institutional donors.

·      Partner with internal stakeholders on tracking and reporting out on key organizational performance indicators and milestones (BOD growth, revenue, staffing/retention, leadership capacity, etc).

·      Work with regional and national program staff to provide program updates as needed across the organization.


·      Ideally 7+ years of increasingly responsible experience in grants administration in philanthropic/nonprofit settings preferred.

·      Minimum of five years of substantive grants management and/or project management experience; experience with systems level work preferred.

·      Strong written, analytical and verbal communication skills. Ability to communicate professionally with a range of internal and external stakeholders.

·      Ability to manage and organize parallel projects across multiple teams, with meticulous attention to detail while maintaining a broad perspective.

·      Knowledge of the philanthropic landscape, along with broad experience and best-practice knowledge across non-profit sector that will bring innovations to iMentor’s national development functions.

·      Experience working closely with foundation officers and other senior staff in institutional giving environments is a plus.

·      An eye for opportunity and synergy, with the vision to see possibilities where nothing currently exists.

·      High degree of diplomacy both internally and externally. Able to navigate complicated relationship dynamics, able to say no when necessary, and able to build rapport under challenging circumstances.

·      Strong staff manager with experience leading teams and developing others

·      Culturally competent regarding diversity, equity and inclusion. Able to have difficult and effective conversations about race and equity while meeting someone where they are

·      Aligned in thought and action with iMentor's values

·      Bachelor’s degree required, preferably in non-profit management, grant administration or a related field.

·      Our organization works in partnership with district public schools across the country. In doing so we must meet all compliance requirements of those districts.
