Summary:

 Under the supervision of the Senior Director of Direct Marketing and Development Operations, the Development provides administrative and operational support to a dynamic 15-person Development Department. A team player, the incumbent will manage routine tasks and be flexible to assist with special occasional projects. He/She/They is an integral part of our dynamic team and supports our ambitious revenue growth goals and Safe Horizon’s organizational priorities, while engaging with our fun, enthusiastic, and professional team.


Responsibilities:

  • Process incoming mail on a weekly basis
  • Enter donations batches into Salesforce
  • Print and mail timely gift acknowledgment letters
  • Maintain records of donations including proposal and related acknowledgment, and pledge documentation for Finance Department and audit trail
  • Generate routine reports in Salesforce
  • Coordinate special administrative projects including but not limited to: event mailings, special donor appeals, filing funder face sheets, update funder lists
  • Use online portals for workplace giving and matching donations, and retrieve donor information from these systems to enter into Salesforce
  • Deliver batch postings, and routine reconciliation reports on a set schedule to our Finance partners
  • Maintain department’s file and document management system in Share Point
  • Enter email chains, and other contact history into donor records in Salesforce
  • Handle Correspondence from various email boxes and voice mail
  • Schedule departmental meetings in Outlook
  • Ordering office supplies, reconcile department credit cards, and process payment requests
  • Provide support to major donor team for generating and mailing new donor welcome packets, and provide as needed support for special Corporate or Foundation proposal submissions
  • Assist team members with special occasional events including Major Donor Sunset Series, and Corporate and Team Horizon engagement events
  • Other projects as needed

 

Qualifications:

  •  2+ years experience with office systems, preferably in a non-profit environment.  Prior experience using Salesforce (or similar data system) is preferred.
  • Familiarity with internet-based applications, and experience using online systems such as fundraising platforms, donation tracking systems, or online portals
  • Experience managing filing systems, familiarity with Share Point is preferred but not required
  • Commitment to Safe Horizon’s core values including client-centered practice, a commitment to racial equity, and social justice
  • Must be able to meet deadlines and work independently
  • Possess strong attention to detail and ability to work independently and as part of a team
  • Microsoft Office suite including Excel, Word and Power Point, and Outlook meeting scheduling required. Strong Excel analytic skills including use of pivot tables, is preferred.
  • Database entry experience including transaction and contact information, database reporting, and basic administration skills are required.
  • Understanding of fundraising practices related to gift processing, acknowledgment and stewardship
  • Working knowledge of how non-profit organizations operate
