Summary

The assistant/coordinator role of the Chief External Office is an extraordinary opportunity for a former educator and/or professional with planning, communication, coordination, and event management experience to work closely with high-performing, results-oriented teams and senior leaders, and get involved in innovative external relations work. The assistant/coordinator will develop highly transferable skills and a strong understanding of the public education sector and external landscape.


In addition to administrative, correspondence, and scheduling support for our Chief External Officer (CXO), the assistant/coordinator will serve as a crucial supporter and strategic thought partner for our four external-facing teams. The ideal candidate is extraordinarily self-directed, willing to work hard in service of incredibly exciting work, and possesses exceptional multi-tasking abilities, excellent written and verbal communication skills, comfort with managing multi-part projects and analyzing data.


Responsibilities of the Assistant/Coordinator will include but are not limited to:


Scheduling and Strategic Support (50%) – Provide total coordination for the CXO, ensuring her time is maximized and operating in line with Achievement First’s strategies and priorities.

●       Serve as the CXO’s right-hand and Team CXO expert, provide input on team collaboration and time management to ensure the team is functioning at the highest possible level.

●       Fully manage the CXO’s schedule and support inbox management, including drafting and sending communication on her behalf to school leaders, external partners, team leads and more.

●       Make travel arrangements, process mileage and reimbursements, and prepare materials for calls and meetings.

●       Own Team CXO collaboration and coordination, provide administrative and logistical support for team meetings, take notes at various meetings, and draft internal communications. 

●       Create and maintain systems for the management of complex administrative tasks, and independently problem-solve, research options, and propose solutions or adaptations when challenges arise.


Project Management (50%) – Create and manage short and long-term project plans and work streams involving multiple stakeholders as well as provide cross-team problem solving and support.

●       Partner with our four external-facing teams leads including Team Development, Team Legal & Compliance, Team Marketing & Communication, and Team External Relations to problem-solve complex cross-team initiatives and create alignment among CXO team leaders.

●       Strategically communicate across multiple teams and stakeholders. Facilitate routine meetings with key players, and hold peers and senior leaders accountable for meeting deadlines.

●       Analyze data including survey data from school leaders, achievement data, etc. to highlight trends and recommend solutions for areas of improvement.

●       Serve as project manager in the following areas (examples include):

o  Student recruitment - tracking deadlines and next steps, draft team agendas, drafting communication, vendor payments and follow up, marketing support as needed

o  External visits - both email requests and in person visits to the office which will involve coordinating with schools for next steps such as setting up a schedule for visits

o  Hiring process - for any open seats on the team including creating a project plan, manage candidate materials, prepare logistics for interview day, etc.

●       Function as member of the Network Support office management team and support office functions.

●       Attention to detail and an attitude of “sweat the small stuff”

●       A track record of identifying and taking initiative to resolve problems

●       Strong written and verbal communication

●       Ability to thrive in a fast-paced, entrepreneurial environment; flexible, able to work autonomously as well as take direction as needed

●       Maturity, humility, strong work ethic, sense of humor, and “roll-up-my-sleeves” attitude


Educational Background and Work Experience

●       Required

o  Bachelor’s degree

o  1-3 years of work experience

●       Preferred

o  Experience managing a supervisor’s calendar and scheduling meetings

o  Experience in project management: coordinating tasks and communication to achieve a set vision or goal

o  Experience in education


This position will require occasional travel between New York, Connecticut, and Rhode Island, as well as occasional early morning, evening and weekend work.
