Client Services Coordinator- Full-time

UnCommon Law’s mission is to provide access to justice and healing for people impacted by incarceration. We deliver trauma-informed mental health and legal counseling to help provide a safe pathway home for people currently serving life sentences in California prisons. We represent people in their parole hearings, and we engage in litigation and policy advocacy to address systemic discrimination in the criminal justice system. We also provide training for prisoners, attorneys, family members and law students in order to improve the overall quality of preparation for and representation in parole hearings. Our clients cannot be released from prison unless and until they have participated in counseling and other training programs and can show the parole board they are truly ready to rejoin their communities. We help them do that.

We have an opening for a client services coordinator in our office near Oakland’s Jack London Square.

While the bulk of your work will be administrative, you’ll get intimate exposure to the inner workings of a small non-profit firm doing unique work. You need to have excellent verbal and written communication skills, be able to handle multiple projects simultaneously, and demonstrate a commitment to criminal justice reform.


Administrative: 50%

  • Managing phone calls, email and all written communication with clients, their families, prison staff, attorneys and law students
  • Maintaining client database (Clio) for deadlines and case updates
  • Preparing court filings and calendaring deadlines
  • Scheduling legal visits and securing access to prison files for office attorneys, social workers, and volunteers
  • Ensuring adequate supplies and reliable equipment to support the office staff
  • Processing client payments and managing payment plans

Legal: 35%

  • Ongoing legal communication and file preparation in advance of parole consideration hearings
  • Assisting and writing transcript reviews, petitions, and consultations

Development: 15%

  • Managing donor database (Neon) and using it to track all charitable contributions, grants, and correspondence with donors


  • Compassion for incarcerated persons and their family members and a demonstrated interest in criminal justice reform
  • Ability to handle multiple projects simultaneously
  • Excellent written and verbal communication skills 
  • At least two years’ experience as an administrative assistant, case manager and/or executive assistant (preferably in a law firm or nonprofit organization), or an equivalent amount of education and professional experience
  • A professional demeanor and pleasant disposition 
  • Exceptional organizational skills and attention to detail 
  • Previous work or volunteer experience on behalf of incarcerated persons (strongly preferred) 
  • Sensitivity to confidential matters   
  • A strong working proficiency in Microsoft Word and Excel (required), Google Suite (required), and CRM software (strongly preferred)
  • Bachelor’s Degree (preferred)
